Description
Oglethorpe University is currently seeking an Assistant/Associate Director of Visitor Experience whose main directive is to plan and execute campus visit programs for prospective students and their families. The person in this position recruits trains and supervises paid and volunteer student workers (Admission Ambassadors) and ensures the voice of current students is present in campus visits and events. The Manager of Visitor Experience also serves as the primary admission office manager and is responsible for critical administrative duties.
The ideal candidate will possess excellent customer service and organizational skills and will exemplify the quality of service and personal touch students expect from the Oglethorpe experience.
PRIMARY RESPONSIBILITIES
Visit Experience & Events
Maintain all systems and processes related to daily campus visits and Saturday visits using the CRM Slate; respond to visit inquiries; serve as the primary point of contact throughout the pre-visit process.
Assist with the planning and execution of large-scale prospective and admitted student programing including preview days admitted student events and summer orientation.
Lead by example by exhibiting exemplary professionalism and a commitment to service-orientation. Serve as an on-call manager for all visitor needs during public/event hours.
Develop and maintain positive working relationships with departments across campus including:
Academic departments to enhance a students campus visit experience by scheduling individual meetings with faculty and class visits.
Offices of Financial Aid Campus Life Residential Life the Registrar and Student strong working knowledge of student policies and procedures within each of these departments.
Be responsive to each visitors individual needs and interests and design an appropriate and appealing visit agenda.
Use data to report analyze and determine the effectiveness of current campus visit processes; suggest data-driven solutions and improvements to visit numbers and visit satisfaction.
Communicate with campus partners to reserve rooms coordinate catering etc. for events and visits.
Respond to a high volume of phone and email inquiries related to admissions.
Student Ambassadors
Hire train mentor manage and supervise a diverse group of 20 student Admission Ambassadors (student leader tour guides) ensuring a high level of professionalism and service-orientation.
Maintain high engagement from Admission Ambassadors and coordinate their participation at daily visit and weekend visits and other admission events.
Ensure the Admission Ambassador program is a meaningful mutually beneficial experience for the student that provides them with transferable skills and experience.
Manage budget for Admission Ambassadors.
Qualifications
MINIMUM REQUIREMENTS
Bachelors degree from an accredited college or university
1-3 years of experience working in higher education preferably a fast-paced admission office
Exemplary customer service and organization skills and ability to collaborate effectively
Strong communication skills both oral and written
Detail-oriented
Ability to problem-solve and make independent decisions
Ability to maintain confidentiality regarding information and files
Ability to quickly become proficient using campus information systems & CRM
PREFERRED QUALIFICATIONS
Advanced degree from an accredited college or university
3-5 years of experience in selective college admissions
Familiarity with Technolutions Slate
Experience with planning large and small scale recruitment events
