Position Summary

The Donor Relations Manager plays a vital role in advancing the Eugene Family YMCAs philanthropic goals by managing a portfolio of mid-level donors and overseeing the annual giving program. This position bridges broad-based annual support and major gift development cultivating meaningful relationships with individual donors businesses and community partners to deepen engagement and inspire increased giving.

The Donor Relations Manager leads the planning execution and analysis of annual giving appeals and personally manages a portfolio of approximately 150250 mid-level donors through a strategic mix of personalized outreach cultivation solicitation and stewardship.

Essential Functions

  • Manage and grow a portfolio of approximately 150250 mid-level donors ensuring each donor receives personalized engagement and regular touchpoints.

  • Implement a structured stewardship plan that includes timely thank-yous impact updates and relationship-based solicitations.

  • Conduct proactive outreach via phone email mail video and in-person meetings with a focus on donor retention increased giving and deepened engagement.

  • Segment (tier) donors based on giving level capacity and engagement to prioritize outreach and maximize results.

  • Partner with the VP of Philanthropy to regularly assess portfolio performance identify high-potential donors and move qualified donors into the major gifts pipeline.

  • Track all donor interactions touchpoints and moves management activity in DonorPerfect to maintain accurate records and inform strategy.

  • Lead the strategy planning and execution of the Ys annual giving program including spring and year-end appeals email campaigns and special giving initiatives.

  • Collaborate with the Marketing and Communications team to craft compelling donor-centered messaging and materials that align with brand and fundraising goals.

  • Oversee data segmentation audience selection and tracking of appeal performance to inform ongoing improvement.

  • Coordinate with staff and volunteers to ensure timely acknowledgments and consistent donor experience across all giving channels.

  • Identify and qualify new donor prospects for mid-level and major giving through annual giving responses event participation and community engagement.

  • Work collaboratively with the VP of Philanthropy Major Gifts and Donor Data staff to align mid-level strategy within the overall development plan.

  • Support events and experiences that engage mid-level donors and highlight program impact.

  • Serve as an ambassador of the Y at donor and community events reinforcing our mission and deepening connections with supporters.

  • Analyze giving trends and key performance indicators (KPIs) related to donor retention upgrade rates and appeal performance.

  • Produce regular progress reports for internal leadership on portfolio activity and campaign outcomes.

  • Ensure all donors receive timely acknowledgment and stewardship communications that reflect their giving history and Y involvement.

  • Establishes functional development-related policies and makes tactical decisions within overall strategic direction set by top management.

  • Creates previously unknown and original approaches to philanthropy initiatives or significantly differentiates existing programs or services from the market or past operational practices.

  • Within 90 days of hire complete all mandatory trainings.

  • Must maintain a current valid Oregon drivers license a DMV driving record that meets YMCA standards and evidence of insurability throughout entire term of employment.

  • Protect the organizations value by maintaining confidentiality at all times.

  • Other duties as assigned.

Minimum Qualifications

  • At least 2 years of formal training beyond high school (such as relevant professional certifications continuing education courses or relevant trainings).

  • At least 4-½ years of fundraising donor relations or nonprofit development experience.

  • Demonstrated success managing donor portfolios or annual campaigns.

  • Previous experience with CRM systems (DonorPerfect preferred) and donor segmentation strategy.

Preferred Qualifications

  • Previous experience working at a YMCA.

  • Passion for the YMCAs mission and commitment to strengthening community.

  • Bilingual in English/Spanish
