Position Summary
The Department of Orthopaedics at the University at Buffalo is recruiting a full-time Administrative Assistant . This position provides support to the Chairman Faculty and Executive Team of the Department. This role will require an effective communicator who is detail oriented responsible dependable efficient and very organized with the ability to multitask and prioritize at a high level. Office will be located at our administrative building in Cheektowaga NY. Travel to all locations will be required. Job duties will include but are not limited to: Manage faculty timecards for Chair approval. Assist with tracking academic performance of faculty for annual review by chair (publications presentations invited lectures book chapters etc.) Monthly reports pulled and documented on spreadsheets; faculty attendance residents case report logs. Document Grand Rounds attendance weekly in MedHub. Complete Dossiers and submit documents accurately and in a timely manner to Department Chair. Update Mobile Med and check for accuracy weekly. Manage online CME and update when needed. Verify week prior to ensure both residency and fellowship calendars are accurate. Send CME sign-in sheet to Alicia each week. Scheduling/Communication with faculty regarding departmental activities (meetings annual review with Chair etc.) Work with practice plan HR managing all staff and faculty appointments and reappointments affiliated with The Department of Orthopaedics. Update ECVs in January April July and October. Confirm completion with Chair and Training Program Administrator. Provide clerical support communication emails mailings scanning filing printing etc. with residency and fellowship interviews as well as residency graduation activities annually as needed.
