We are seeking a highly motivated customer-focused and hands-onWorkplace Leadto oversee the daily operations services and workplace experience within our Singapore and a few other offices. This role is critical in ensuring that our office reflects our values supports productivity and fosters a sense of connection and belonging for employees and visitors.

The position will lead onsite workplace services facility management vendor management optimize workplace environments supports events and collaborate with HR IT and Finance to deliver seamless operations and an exceptional workplace experience. Driving operational excellence is the key for success in this role. This is an on-site position.

HOW YOULL SPEND YOUR TIME HERE:

Workplace Operations

  • Oversee daily operations across all workplace services including reception food & beverage janitorial mail/shipping and office supply management.

  • Ensure the office environment is safe welcoming and aligned with brand and culture standards.

  • Lead space management and seating assignments

  • Develop and launch a robust facility management and preventive maintenance program in collaboration with other site leaders across US

  • Oversee planning and execution of MAC (Moves Adds Changes) projects by partnering with business IT Security and property management team. Oversee permitting and construction of projects.

  • Manage facilities emergencies and issue timely communications to employees and executives through Slack and email ensuring clarity accuracy timeliness and alignment with business priorities.

  • Own Workplace budget for the offices responsible for and lead detailed fiscal planning ensure accurate budget tracking and forecasting and drive timely and accurate accruals reporting

Vendor and Service Management

  • Manage vendor contracts and service delivery (janitorial facility maintenance food & beverage office supplies etc.).

  • Conduct regular vendor performance reviews and service-level audits to ensure accountability.

  • Partner with Procurement and Finance on budgeting cost control and contract renewals.

  • Ensure timely issuance of POs and PO tracking and invoicing across all services

  • Supervise vendor staff and oversee daily schedules training and performance.

Workplace Experience & Events

  • Partner with our event planners to drive onsite engagement through hospitality-focused services and cultural initiatives.

  • Support events all-hands & town hall meetings executive visits by leading furniture janitorial and caterings services

  • Act as the face of workplace operations ensuring employees feel supported and valued.

  • Collaborate with IT for AV conference room and technology support.

  • Serve as the key point of contact for building management and landlord relations.

  • Partner with Security to ensure a safe secure and compliant workplace environment.

WED LOVE TO TALK TO YOU IF YOU HAVE MANY OF THE FOLLOWING:

  • Proficiency in English and a secondary language such as Mandarin Malay Indian etc

  • 7 years of experience in facilities management hospitality workplace operations.

  • Proven track record managing large office operations and cross-functional workplace programs.

  • Strong vendor management and contract negotiation experience.

  • Excellent communication and interpersonal skills; ability to represent the company with professionalism.

  • Experience crafting clear concise communications for employees and executives.

  • Highly organized proactive and adaptable in a fast-paced environment.

  • Strong project management and analytical skills

  • Bachelors degree in Facilities Management Real Estate Architecture or related fields highly preferred

  • Deep understanding of regulatory and compliance requirements for the region

  • Expertise in systems such as Coupa Jira/ServiceNow ticketing systems Envoy or similar systems is highly desirable

  • Passion for workplace experience and highly customer-focused

  • Ability to remain calm proactive and adaptable in fast-changing or high-pressure environments

  • A role model forprofessional conduct positive energy and team collaboration

  • Ability to beon-site every day andflexible in supporting after-hours escalationswhen needed

  • Demonstrated ability to leverage AI tools to enhance productivity streamline workflows and support decision making.

In-Office Expectations

Cohesity employees who are within a reasonable commute (e.g. within a forty-five (45) minute average travel time) work out of our core offices 2-3 days a week of their choosing.
