Job Summary

Duties & Responsibilities

Contractor Safety Files:

1.1 Contractor requirements:

Ensure all relevant documentation as per Clients Contractor Requirements index are up to date this

  • Includes but are not limited with the following:
  • Workmans Compensation Registration (valid Letter of Good Standing)
  • Proof of cover for Public Liability
  • Registered employer organisation (Company / CC)
  • Registered trades (professional bodies councils BIFSA DME DoL B-BBEE Certificates)
  • Signed SHE Agreement for the scope of work to be performed at PPC De Hoek
  • Signed SHE Specification
  • Legal Appointments (Supervisors SHE reps Scaffolding etc)
  • Enrolment Form (Proof of Induction and Fitness medical)
  • ID/Passport Documents & Licenses (copies will be made on site)

1.2 Spread Sheet Updates (Companies):

All relevant contractor companies entering the Client site are compiled on a spread sheet this sheet included info like Expiry dates on the above mentioned documentation and also contain contact details of:

  • the relevant Company Manager
  • the email address
  • and the relevant Client Rep is added to connect Contracting companies to client site

Access Control

  • After Covid we had to adapt and organise all information for access control manually. Spread sheets were drawn up and are now used to keep track of contractors entering the site.
  • All names of client employees and Contractors are added on this sheet and given to the respective security gates to enter their arrival and exit times as well as their entry and exit temperatures.
  • The Contractor list has an extra tab where the Access Control Officer works out the time worked for the month.
  • This is a very important function for Client site and these statistics must be completed on the last day of the month and forwarded to the Client Representative (SHE Practitioner Naomi Brandt) to be able to complete the month end for Client site.

3. Reports

  • On a daily basis the Access Control Officer receives the employee and contractor papers back from the 3 respective security gates after which the Access Control Officer counts the contractors employees transporters and visitors that came in the previous day to update the Covid Stats spreadsheet.
  • After working out the times worked from the contractor papers the Access Control Officer load the figures in the Contractor Hours Spreadsheet that tallies their total hours worked for the month.
  • At every month end the Access Control Officer submit the Contractor Hours spreadsheet where all hours from the different companies are added up the total contractors that worked that month is added as well as putting together a summary of the total contractors working for that month on site (Plant and Mine) how many worked the last day of the month on site (Plant and Mine) as well as the total male and female that was on site (Plant and Mine).

Visitors

  • When visitors come on site the Access Control Officer have to phone the respective person to make sure that the visitor may enter the premises and ensure and assist that all visitors complete the visitors slip as well as the Covid register.

Risk Assessments

  • All the risk assessments employees and contractors completed on site are sent to the Access Control Officer who will then count the RAs on a weekly basis per department and update the counts on a spread sheet (Risk Assessment Summary) and provide to the Client Representative for month end.
  • After the updating the count sheet the Access Control Officer then has to type the info on each RA on another spreadsheet and afterwards file the Risk assessments per department and in their respective Invocoms. This sheet must be kept updated at all times.

Switchboard

  • Answering the switchboard in a friendly voice and transferring the calls to the correct person.
  • Updating the telephone list for internal numbers and short dials.
