Job Summary

Description

The Administrative Program Support Associate assists with many aspects of faculty scheduling coordination of faculty evaluations preparation of files for faculty appointments including promotion and tenure coordination of speakers for Grand Rounds and CME documentation. The position provides daily administrative support to the Administrative Director and Department Chair faculty and staff members



Responsibilities
  1. Creates maintains and distributes monthly faculty schedules for faculty members.
  2. Opens faculty schedules in the EMR (Electronic Medical Record) and enters all faculty schedules into their Outlook calendars.
  3. Maintains credentialing documents for faculty and provider including licensure DEA and certifications.
  4. Maintains calendars daily for Chair and Administrative Director.
  5. Enters faculty and exempt staff time into DASH/Oracle and maintains documentation.
  6. Prepares and assembles documents for Promotion and Tenure Committee faculty appointments and faculty evaluations.
  7. Collects sort and disperses mail for the department.
  8. Prepares and distributes surveys and coordinates with speakers for the Grand Rounds.
  9. Performsother duties as assigned.


Qualifications

EDUCATION:High School Diploma or GED.(TRANSCRIPT REQUIRED)

EXPERIENCE: Four (4) years of office experience in higher education; OR a Bachelors Degree in lieu of experience.

KNOWLEDGE SKILLS AND ABILITIES:

  • Effective written and verbal communication skills to communicate appropriately with physicians administrators other departments within and outside own institution as well as resident applicants.
  • Ability to function independently use discretion and attention to detail.
  • Computer literacy includes word processing and database management.
  • Ability to quickly learn new software such as MedHub ERAS and Thalamus.
