We are hiring a world-class Executive Administrative Assistant to support a fast-moving high-performance executive overseeing multiple growing businesses including:
Farmers Insurance District 46 (San Antonio TX) recruiting operations and support for 40 insurance agencies
a rapidly emerging software company building AI-powered operational tool
This is a high-trust high-responsibility high-autonomy role. You will become the executives right hand managing calendars inboxes priorities reporting communication and operational clarity across all companies.
You will work inside a secure Microsoft 365 Cloud PC with access to inboxes calendars reporting tools and operational dashboards.

Manage and optimize multiple calendars across Farmers Sopify and SHIFT
Triage draft and organize email communications with exceptional clarity
Coordinate meetings follow-ups deadlines and key priorities
Serve as the executives organizational backbone and time-protection guardrail
Pull reports update dashboards and prepare weekly and monthly summaries
Assist in collecting data from Farmers systems (via Cloud PC)
Maintain KPI documents and provide insights or actionable summaries
Track deliverables deadlines and key initiatives across multiple businesses
Conduct research for new projects vendors and operational improvements
Support executive recruiting team coordination and agency-owner communication
Prepare documents presentations and meeting materials
Help build document and maintain SOPs and playbooks
Work inside Sopify to help test workflows and create structured documentation
Identify inefficiencies and recommend improvements
Assist with scheduling content for social media
Track engagement analytics and coordinate with creative team
Book flights hotels transportation and itineraries
Support event scheduling and logistics for team meetings and SHIFT activities
47 years experience as an Executive Assistant Operations Assistant or similar role
Advanced English (C1/C2) written and spoken
Strong command of:
Microsoft Office
Google Workspace
Asana or similar project tools
Exceptional communication and writing skills
High emotional intelligence
Strong organizational abilities and follow-through
Ability to operate in a fast-paced high-intensity environment
Comfortable managing multiple priorities simultaneously
High integrity and strong confidentiality discipline
Experience supporting U.S. executives
Experience with reporting data handling or CRM tools
Familiarity with insurance real estate recruiting or tech
Experience in early-stage or growth-stage companies
Proficiency building SOPs or playbooks
To comply with system-access regulations candidates must be located in Colombia and able to work full-time U.S. Central Time hours.
