Palmer College of Chiropractic in Davenport IA is hiring for an Academic Records Academic Records Specialist (ARS) oversees the maintenance management and protection of all students academic records in and across multiple campuses both in digital and paper formats and ensures compliance with institutional policies legal regulations (such as FERPA) and industry best ARS is responsible for processing all documents related to student learning from point of matriculation to graduation and is responsible for providing general administrative and program support for the department ensuring the staff and department have adequate support to run smoothly and efficiently. This position will be responsible for ensuring compliance with financial and administrative requirements when providing information recommendations and/or direction as requested by the College Registrar Campus Registrar and/or other staff. The ARS also serves as the chief liaison and manager for Palmer Campuses with Parchment Award Services and fulfillment of all transcripts diplomas enrollment verification and other student academic records requests.
Specific Duties and Responsibilities:
Oversee the accurate and efficient maintenance of student academic records including grades course registrations degree audits and academic histories
Lead and supervise management of all Palmer Campuses academic records to ensure adherence to college policies and procedures and evaluate current and future performance.
Maintains the accuracy of data in the student record module of the student information system and document imaging system
Ensure the secure storage retrieval and management of academic records
Serve as the primary liaison between the Registrars offices of Davenport and Florida various student support and academic departments and the IT department to ensure timely and accurate updates to student records
Ensure adherence to college policies and procedures in line with AACRO best practices and student information systems practices
Conduct regular audits to ensure accuracy and integrity of all students academic records
Solve complex academic records issues and serve as an escalation point for problems and service issues with respect to the release of student records.
Resolve misrouted request complaints time-sensitive requests and other sensitive matters in cases
Oversee degree verifications and student enrollment verifications
Recommend operational procedural changes to increase efficiency and improve services
Assist Campus Registrars with enrollment graduation and other key student census academic performance and graduation data reports.
Manage a variety of confidential and sensitive communications
Ensure adherence to privacy laws including FERPA (Family Educational Rights and Privacy Act) and institutional policies regarding the confidentiality and security of student information
Serve as key expert on regulatory changes and ensure records management practices remain compliant with state and federal laws
Coordinates with IT and Academic/Student Services Administration teams to lead and implement SIS/Parchment academic record system changes
Qualifications:
Associates degree with two to three years of experience; or equivalent combination of education and experience required. Bachelors degree in related field; two years of related work experience; or equivalent combination of education and experience preferred.
Ability to perform assigned duties with time pressures and frequent interruptions.
Ability to work independently exhibit initiative and make and implement decisions
Strong understanding of all student administrative processes and data to ensure accurate implementation to the administrative database system
Demonstrated experience in academic record maintenance and functionality
Ability to utilize general office equipment and other necessary equipment
Ability to utilize personal computer and various software packages
Ability to analyze and resolve difficult problems
Ability to originate and implement new ideas and approaches
Ability to communicate data and concepts in verbal numeric and graphical modes
Ability to communicate effectively verbally and in writing
Ability to work various hours as job requires
Systems implementation experience preferred
