Description
In an environment of continuous quality improvement the Trauma Registrar is responsible for identifying collecting coding and validating required data collection points for all patients meeting inclusion criteria into the trauma registry. Exhibits the MHS Standards of Excellence and exercises strict confidentiality at all times.
Job Functions:
- Daily identifies all patients meeting criteria for inclusion into the trauma registry utilizing the trauma registry inclusion criteria ACS guidelines and National Trauma Data Bank inclusion criteria.
- Collects abstracts and enters complete and accurate clinical data including demographic information within 72 hours of discharge.
- Utilizing the trauma registry accurately codes all diagnosis procedures and injuries into the trauma registry.
- Identifies insufficient or inaccurate data and obtains/correct data in a timely manner to maintain validity of the registry data.
- Maintains current knowledge related to coding treatment regimes and guidelines for trauma registry required by the American College of Surgeons State of Ohio Central Ohio Trauma System and National Trauma Data Bank.
- Participates in regional and state registry committees including the Central Ohio Trauma System registrar meeting and Alliance of Ohio Trauma Registrars.
- Develops and provides reports to various hospital departments as requested to facilitate dissemination of information as it relates to trauma.
- Continually reviews available updates to the trauma registry software and assists with the backing up download of updates and verification of codes for the registry.
- Participates in data validation processes to support an accurate registry for trauma.
- Attends Trauma Committee Meetings.
- Support EMS education and outreach activities as needed.
- Assumes all other duties and responsibilities as necessary.
Charge:
- Oversees the recording of the Trauma Registry clinical data and assures compliance with the American College of Surgeons Guidelines for verification and designation of Trauma Centers and Ohio Revised Code as an assistant to the Trauma Program Coordinator.
- Oversees the data collection data analysis data entry data completion and data validation of all patients meeting inclusion criteria into the hospital trauma and burn registry on a daily basis.
- Acts as designated spokesperson for the day to day trauma registry operations and serves as a trauma registry resource for departments physicians and staff members on request.
- Coordinates the updates and checks codes for the annual data submission with the ACS and trauma registry vender and makes the necessary registry software updates.
- Demonstrates knowledge of procedures necessary for developing and maintaining the trauma registry database.
- Conducts special projects and assignments at the direction of the Trauma Program Coordinator or Director.
- Ensures delivery of Trauma Center data to all required entities.
- Establishes processes for data concurrency and data validation in order to ensure that the databases are not only current but accurate.
- Monitors motivates and assists in the training of the Trauma Registrar position to ensure maximum utilization of individual and group capabilities.
- Maintains knowledge of all rules regulations laws and guidelines that impact or govern the trauma registry and ensure that Memorial Health System is in compliance.
- Completes and assesses case finding protocols to determine inclusion eligibility for trauma and stroke programs.
- Interfaces with the medical record department staff to request acquire and return closed medical records on a daily basis.
- Monitors and provides feedback to trauma registrars regarding regulatory compliance.
- Provides ongoing training and in-service programs for trauma registry staff to support corporate compliance.
