Job Summary

Position Description


The Harris County Community Supervision and Corrections Department (CSCD) is one of the largest probation departments in the United States supervising more than 70000 individuals and employing over 600 staff members across 6 locations. We provide a wide range of services including community supervision outpatient counseling cognitive-behavioral programming and residential treatment designed to strengthen our clients abilities and support their long-term success. With a focus on utilizing evidence-based practices we aim to improve outcomes and reduce recidivism for all clients under supervision.


Basic Function:
Performs duties in support of the Departments accounts payable function; receives incoming invoices for payment and review for accuracy and proper authorizations and account coding; researches discrepancies; prepares and/or approve batches electronically and ensures that payments are processed in a timely manner.

Duties and Responsibilities:

  • Review all invoices for appropriate documentation and approval prior to processing for payment including verifying contract rates.
  • Performs 3-way matching for all invoices received matching purchase orders receiving documents and invoices.
  • Reviews approves and issues Department referrals for vendor services.
  • Utilizes computer systems to retrieve information; prepares reports in response to inquiries.
  • Performs clerical tasks such as responding to internal and external requests for documentation or information copying various materials and documents and filing.
  • Responds to inquiries from both vendors and HCCSCD personnel in regards to payment status provides updated information or researches as needed to ensure quick resolution to issues.
  • Ensure compliance with departmental and County policies and best practices in the processing of payments. Provides guidance to HCCSCD employees in interpretation and compliance of said policies.
  • Reconcile vendor statements research and correct discrepancies.
  • Works with vendors to reconcile any differences in payments and resolves issues.
  • Maintain files and documentation thoroughly and accurately in accordance with policy and accepted accounting practices.
  • Monitor accounts payable aging reports to ensure invoices are processed timely.
  • Works as backup for recording deposits collected by Business Office.
  • Sort and distribute incoming mail for fiscal area.
  • Maintain a neat and organized work area.
  • Performs other related duties as assigned.
  • Contributes to and helps create a positive work atmosphere by behaving and communicating in a cooperative and amicable manner with supervisors coworkers subordinates and members of the public.
  • Work overtime as required.

Requirements

Education and Experience:

  • High School Diploma or G.E.D. equivalent from an accredited educational institution.
  • Two (2) years increasing responsible clerical secretarial or customer service experience.

  • Experience working with financial accounting software.

Knowledge Skills and Abilities:

  • Proficient in Microsoft Excel and Word 10-Key by touch.
  • Ability to perform mathematical computations such as percentages fractions addition subtraction multiplication and division quickly and accurately.
  • Knowledge and experience in business office procedures and methods including telephone communications office systems and organized record keeping.
  • Ability to communicate effectively verbally and in writing.

Licensure:

  • Valid Texas Drivers License or Texas ID.

  • Accounts Payable experience.
  • PeopleSoft financial accounting software experience.

General Information

Position Type and Typical Hours of Work:

  • Regular Full-time 40 hours per week

    • Hours will be discussed during departmental interview.

Salary:

  • $4281.23 ($24.70 Hourly) - $4829.33 ($27.86 Hourly)

  • Depends on Qualifications

  • Based on 26 Pay Periods
