The Logistics Specialist is responsible for all processes related to logistics (shipping delivery collection ext.) of general cargo. It is also the link between shipments and customers.
Job Purpose
Responsible for handling all shipping and delivery processes and making sure all cargo is delivered in a timely manner as requested by customers.
Verify ALL documentation and shipments to make sure there are no discrepancies (Supplies received vs. invoice attached/received for shipments).
Notify the customer of any issue with the shipment (Discrepancy damage etc) and follow up until it is resolved.
E-mail proper documentation accordingly per destination country to obtain a green light to ship
Follow up with destination /customer for any revision and change on the documentation until green light to ship is received.
Responsible for making bookings in advance with the Airlines to make sure the space is available when needed. MUST cancel booking on time in case it is not used to avoid charges.
Prepare and make all arrangements with country of destination and Airline to dispatch authorized shipments.
Prepare daily documentation (Ocasa AWB HAWB MAWB manifest invoice PL etc) to process the export shipments according to their destination
Follow up on all dispatched shipments to make sure they arrive at their destination as booked. Offloads flight cancelation delays mut be addressed to the Airline to get the NFO.
Responsible to input Inbound and outbound information to SAP system (Costs P.O.D. Correct AP Trace etc)
Notify the corresponding department(s) immediately about any issue or delay with the shipments and make sure the necessary steps are taken and properly transmitted to the customers.
Responsible to handle returns or dispose items when the customer decides to cancel or not to ship a partial or complete shipment.
Ensure all shipments are input /updated not only in SAP system but the shared drive to make sure information is kept complete and updated.
Responsible for finalizing DTA shipments as soon as they arrive at their destination when applies.
Ensure all information is completed on the Gestion Documental.
Provide support to drivers when needed (load unload drive) the vehicle.
To cover drivers (pick-ups/Deliveries) when needed.
Enter costs in the system to demonstrate or show all export expenses.
Responsible for performing other duties as needed.
Qualifications & Skills
Minimum of 1 year of experience in operations logistics and customer service.
Demonstrated ability to work in a collaborative team environment.
Must be able to work independently while handling multiple priorities and responsibilities.
Must have strong problem-solving time management and organization skills.
Strong verbal and written communication skills in English and Spanish are required.
Must be proficient in Microsoft Office (Word Excel and Outlook).
Knowledge in SAP it is a plus.
High School diploma or equivalent.
The role may require occasional work outside of standard business hours to accommodate client needs or urgent issues.
Occasional travel (domestic and International) may be necessary to visit client sites attend industry events or be part of a force majeure contingency.
