Job Summary

Position Summary

JOB SUMMARY:The Clerk I plays a vital role in delivering efficient student-centered service and maintaining the accuracy and integrity of institutional records. This position supports the daily operations of the Colleges One Stop and Student Services areas through professionalism attention to detail and teamworkcontributing to the Colleges mission of excellence in service and student success.

Essential Duties and Responsibilities

DUTIES:

  • Serve as a front-line representative of the College by greeting routing and assisting walk-in visitors in a professional and welcoming manner
  • Utilize the queuing software for visitor check-in and flow management
  • Perform data entry document management and records maintenance with accuracy and timeliness including management of parking decals student IDs and advisor assignments
  • Generate and manage Admissions & Records correspondence and other official communications
  • Answer main College phone line and route calls
  • Operate standard office equipment and perform routine clerical operations in support of departmental functions
  • Assist with filing sorting and verifying documents for completeness and accuracy
  • Prepare and proofread office communications letters and reports as assigned
  • Provide courteous and efficient service to students employees and visitors while maintaining a professional appearance and demeanor
  • Perform other duties as assigned by the supervisor
  • Comply with all policies and procedures of the Alabama Community College System and the College

Qualifications

QUALIFICATIONS:

  • Graduation from an accredited high school or possession of a GED certificate plus at least 15 semester hours of postsecondary coursework in business office administration or a closely related field from an approved U.S. Department of Education accredited institution required
  • One year of experience in business or office-related work preferred
  • Proficiency in Microsoft Office applications (Word Excel Outlook Access etc.) preferred
  • Professional qualities desired include: a friendly and service-oriented demeanor; enthusiasm energy and a positive attitude; dependability and trustworthiness; patience; a strong work ethic; the ability to multi-task and remain calm under pressure; and strong problem-solving skills
DESIRED KNOWLEDGE SKILLS AND ABILITIES:
  • Demonstrated ability to communicate clearly and professionally in both oral and written form; excellent telephone and front-desk etiquette
  • Working knowledge of general office practices and procedures
  • Ability to speak clearly with good grammar; articulate
  • Ability to learn new tasks and office systems quickly and adhere to established institutional policies and routines
  • Strong attention to detail with the ability to perform accurate mathematical computations and tabulations
  • Keyboarding proficiency of at least 30 correct (net) words per minute for three minutes.
  • Demonstrated competency in general office procedures and proofreading (Basic Office Procedures Exam)
  • Ability to establish and maintain effective and courteous working relationships with students staff faculty and the public
  • Commitment to maintaining confidentiality in handling sensitive student and institutional information

SALARY:Salary Schedule E5-06- ($28836-$46327). Salary will be based on VERIFIED education and years of VERIFIED related experience that is stated on the initial job application only.

Salary Calculation:For all positions on all Salary Schedules the salary amount for the selected applicant is determined by step placement on the applicable schedule. Step placement is dependent upon the following: (a) all work experience in public education in Alabama and (b) all other work experience outside of public education in Alabama that in the sole judgment of the College directly relates to the requirements of the position. The applicant selected for the position must provide written verification(s) of this work experience within the time provided herein if such experience is to be considered in determining their initial step place on the Salary Schedule.
Format for Work Experience Verifications: Work experience verifications should be in the form of verification letters from employers and must include complete employment dates job title(s) job duties and an indication whether such employment was full-time or part-time and if part-time the average number of hours worked each week. The letters should be on official letterhead and contain an authorized personnel signature. The Colleges official employment verification form is also acceptable and is available upon request. If an employment verification cannot be obtained due to a legitimate reason for purposes of meeting minimum requirements an applicant may submit copies of other trustworthy documentation such as appointment letters contracts pay stubs or W-2 forms documenting the term of employment. However such documentation is generally insufficient for salary calculation purposes if job duties and dates of employment are not self-evident in the documentation.
