The Parks Recreation and Community Services Department is actively seeking a Planning Council Support Assistant.

This is advanced administrative work coordinating monitoring and facilitating administrative actions and processes in support of the Planning Council. The work requires knowledge of administrative techniques methods and procedures which is acquired through a combination of training and on the job experience. Contacts require courtesy tact and effectiveness in dealing with others and include contacts to request or provide information ask questions or obtain clarification. The work is semi-routine in that tasks are covered by procedures or precedents but some latitude is permitted to consider the most appropriate method technique or procedure to follow. The administrative work involves differing situations requiring use of judgment in search for solutions or new applications within ones known experiences. Work is performed in an office environment. Operates standard office equipment such as personal computer The physical demands consist mainly of moving from one work location to another sitting or standing at a workstation for extended periods of time and dependent upon assigned work location may be required to lift objects weighing up to 15 pounds. The work is performed under general supervision where the work assignments are varied and although subject to standard practices and procedures the worker is permitted some latitude to set own priorities subject to supervisors approval.

Examples of Work

  • Attends and assists at every Planning Council committee meeting.
  • Works with committee chairs to ensure that committees have annual work plans with schedules and that each meeting has an agenda needed resource materials and minutes documenting attendance discussion decisions and recommendations to the full Planning Council.
  • Works with council chair to set agendas arrange presentations prepare meeting packets plan andcoordinate PC meetings (including logistics such as meeting space food and transportation).
  • Ensures that all open meetings are properly noticed.
  • Takesminutesand provides draft to council chair for review.
  • Assists in the development of policies and procedures.
  • Ensures that new council members receive a thorough orientation.
  • Ensure annual training for members is accomplished.
  • Works with chair in designing and delivering training directly with members or with external training assistance.
  • Assists the appropriate committee in disseminating information about opportunities for membership
  • Assist with outreach and other efforts to engage consumers as committee or PC members
  • Assists members with problems encounters and ensures they are receiving needed mentoring and support.
  • Processes expense reimbursements for council members.
  • Arranges and coordinatesassistance to the recipient on behalf of thecouncil.
  • Serve as a liaison between the council and the community and supports the council leadership outreach to the community.
  • Operates standard office equipment such as personal computer using word spreadsheet database and other related software.
  • Demonstrates proficiency in the City of Jacksonvilles competencies.
  • Performs related work as required.

Open Requirements/Supplemental Information

OPEN REQUIREMENTS:

  • Five years of education and/or experience in administrative work.
  • Must be able to operate a computer utilizing word processing and spreadsheet applications.
LICENSING/CERTIFICATION/REGISTRATION:
  • A valid drivers license is required prior to appointment and which must be maintained during employment in this class.
  • Must qualify for prior to appointment obtain and maintain during employment in this class a City of Jacksonville Certification as a Public Driver.
OTHER REQUIREMENTS:
  • The probationary period for this class is six (6) months.
