SUMMARY:

Under the direct supervision of the Business Services Director this position provides general administrative support to the agency utilizing general knowledge of health and human services terminology and processes. Duties include scheduling appointments conferring with clients and compiling and recording information for client charts reports and outgoing correspondence.

Duties and Responsiblities

DUTIES AND RESPONSIBILITIES:

Essential Duties: These duties represent the typical duties and responsibilities assigned to this position but may not be inclusive of all tasks performed.

Customer Service & Reception

  • Serve as the primary point of contact for internal and external customers in a professional and courteous manner.
  • Respond to general inquiries and direct individuals to appropriate personnel departments or external resources.
  • Gather client demographic and insurance information and assist with agency paperwork.
Administrative & Clerical Support
  • Provide general administrative support including data entry document preparation and filing.
  • Maintain accurate records and assist with agency processes as needed.
  • Support departmental operations through timely and organized clerical tasks.
Information Management & Communication
  • Receive prioritize and disseminate information to appropriate staff or units.
  • Use County and State-specific software systems to manage data and support departmental functions.
  • Ensure effective communication flow within the department.
Office & Resource Area Maintenance
  • Maintain a clean organized and welcoming reception and resource area.
  • Monitor and restock materials or supplies as needed to support daily operations.
Team Collaboration & Confidentiality
  • Participate actively as a team member to enhance office efficiency and problem-solving.
  • Adhere to departmental confidentiality policies and support the mission and values of the department.

Supervisory Responsibilities: None

Marginal Duties and Responsibilities: Other duties as assigned and general office back-up and support.

Qualifications

QUALIFICATIONS:

Qualifications:
To perform this job successfully an individual must be able to perform each essential duty satisfactorily. Education/Experience/Knowledge:

  1. Requires a high school diploma/GED/HED
  2. Associates Degree in Administrative Assistant Accounting or related field preferred and/or one to two years experience in a related position or related field; or an equivalent combination of education and/or experience.
  3. Proven ability to navigate and utilize computerized data systems and a variety of software applications. Proficient in keyboarding and numeric data entry (ten-key).
  4. Demonstrated proficiency with current office technologies including word processing spreadsheets email platforms and cloud-based applications. Familiar with navigating web-based systems and tools with proven ability to manage digital files and perform transcription using electronic systems.
  5. Experienced in operating standard office equipment including computers calculators copiers and multifunction fax/scanner devices.

Work Environment
Essential functions of this job are typically carried out in work environments with the following characteristics:

  • Takes place in standard office setting with a moderate noise level.
  • Utilizes office equipment such as computers phones photocopiers filing cabinets and fax machines.
  • Position may require occasional travel to other County facilities training sites or community locations.
  • Duties may require occasional evening or weekend hours to meet business needs.
Physical Requirements:
The employee is regularly required to:
  • Sit for extended periods of time;
  • Use hands and fingers to operate a computer keyboard telephone and other office equipment;
  • Talk and hear in person and by telephone;
  • Reach with hands and arms;
