JOB SUMMARY:
Supervisor RICP (Universal Creative) is primarily responsible for managing and overseeing the day-to-day duties of the RICP Project Deliverables Collection Activities and final resolution on any issues related to the collecting processing archival and final contract closeout and ensure all RICP resources assigned to these tasks are provided clear direction training day to day prioritization and support. The Supervisor should ensure that all RICP Deliverables Collection and Support Services are aligned with the Project Schedule(s) using standardized processes and directions from the RICP Portfolio Managers & Project addition the Supervisor RICP will support active project activities and general day to day tasks as needed.
MAJOR RESPONSIBILITIES:
- Supervision: Prepare and deliver annual performance plans/objectives and end-of-year appraisal to direct report(s) in support of the overarching RICP Vision and Mission Focus Areas. Provide on-going coaching to direct report(s) in order enable their achievement of project objectives. Provide periodic feedback to direct report(s) on performance as well as corrective action when needed. Facilitate and support the development of direct report(s) as part of the IDP process.
- Operational Management: Manage the day-to-day activities of self and assigned coordinator(s) in support of project deliverables collection and RICP support services in alignment with the RICP Vision and Mission Focus Areas. This includes guiding direct report(s) on interpreting contract SOW requirements requesting contract clarifications as needed from the applicable project teams providing a comprehensive list of the required contract clarifications scheduling team working sessions to collect contract clarifications and assets location and providing guidance to project teams in regards to Deliverables Items taxonomy and applicable terms.
- Deliverable Collection: Interpret deliverable expectations from contractual documents. Translate relevant details from the Scope of Work into the Deliverables Tracker including vendor information deliverable expectations and phase schedule dates. Monitor contractual Change Orders and update Deliverables Tracker when phase due dates and/or deliverable expectations are modified. Based on deliverable expectations create Deliverable/Submittal Items within internal archival site and ensure synched with PMWeb Submittal Sets. Load deliverables into internal site and route approval workflows via PMWeb.
- Subject Matter Expertise: Apply business acumen and problem-solving skills that assist in the development of insightful solutions and process improvements. Perform support functions as the RICP subject matter expert for all tools technologies and procedures. Support the creation management and updating of RICP standard operating procedures as well as other organizational documents. Ensure adherence to records related policies and procedures. Maintain professionalism and cultivate collaborative working relationships.
- Service Requests: Complete service requests from project teams external vendors and other Universal partners including but not limited to administrative tasks related to Bluebeam design review sessions watermarking encryption file transfer and archive retrieval. Elevate issues to Portfolio Manager for resolution as appropriate.
- Hypercare: Provide hypercare when troubleshooting user and/or system challenges. Escalate issues to Portfolio Manager for resolution as appropriate. Suggest improvements to procedures systems and/or workflows that increase RICPs abilities to achieve its mission and vision.
- Understand and actively participate in Environmental Health & Safety responsibilities by following established UO policy procedures training and team member involvement activities.
- Performs other duties as assigned.
ADDITIONAL INFORMATION:
- Significant decision-making and ability to adapt strategy to complex expanding development environment with multiple internal and external stakeholders; detailed understanding of technical issues required. Influences decisions of complex nature requiring high degree of tact. Planning horizon: Execute short term strategy while maintain focus on a longer-term RIC program Vision & Mission.
- Required knowledge of various digital applications file formats and design limitations. Knowledge of various documentation management and collaboration solutions such as SharePoint Online Office365 PMWeb PowerBI Bluebeam Sharegate & Egnyte among others
- Supervise Non-Exempt team member(s) responsible for development project deliverables collection RICP support services and other duties as assigned.
- Carries out supervisory responsibilities in accordance with the organizations policies and applicable laws.
- Conflict resolution and problem-solving techniques
- Good in presentation facilitation communication and negotiation
- Detail oriented and
- Able to handle multiple tasks simultaneously
- Professional in nature as they will interact with every level of staff and will be dealing with other professionals from outside vendors and other departments within Universal

EDUCATION:
Associates degree required. Bachelors degree preferred.
Preferred but not required:
- Information Governance Professional (IGP) from American Records Management Association
- Certified Information Professional (CIP) from Association for Intelligent Information Management
- Certified Records Manager (CRM) from Institute of Certified Records Managers
EXPERIENCE:
3 years of relevant records management required. Experience in fast-paced document intensive industries preferred (architectural firm construction engineering design studio). Experience providing supervision coaching or guidance to junior team member(s); or equivalent combination of education and experience.
