Description

The Resource Development and Grants Coordinator supports the mission of the Boys & Girls Clubs of the Fox Valley by ensuring the integrity and effectiveness of all donor and grants-related operations.

This position plays a critical role in advancing fundraising and stewardship efforts by managing donor data and gift processing maintaining acknowledgment systems generating reports and coordinating grant research writing administration and compliance.

As an integral member of the Resource Development team this individual works under the supervision of the Chief Philanthropy Officer (CPO) and collaborates across departments to ensure accurate data tracking donor engagement and successful management of grant funding that supports great futures for the young people we serve.

Essential Job Functions

Resource Development

  • Donor Data Management & Gift Processing
    • Lead donor Data management & gift processing
    • Maintain the accuracy integrity and confidentiality of the donor database to support accurate financial analytical and stewardship reporting.
    • Perform timely and accurate data entry for all donor gifts pledges and payments.
    • Process and reconcile all contributions in coordination with the Finance Department.
    • Conduct regular audits to ensure database accuracy and consistency.
    • Maintain and update data entry and gift processing procedures as needed.
    • Generate donor reports queries mailing lists and data exports for campaigns mailings and analysis.
    • Prepare acknowledgment letters receipts and invoices for donors.
    • Support improvements to gift processing and database workflows to increase efficiency especially during high-volume giving periods.
  • Grant Writing Administration & Reporting
    • Research prepare and submit compelling grant proposals and applications that support Club priorities and programs.
    • Coordinate the full grants lifecycle from prospect research and application submission to reporting and compliance.
    • Work with program staff to gather accurate program data outcomes and impact stories for proposals and reports.
    • Maintain an up-to-date grants calendar tracking application and reporting deadlines.
    • Ensure compliance with all grant requirements and provide timely reports to funders.
    • Identify and pursue new funding opportunities to expand the Clubs impact on youth and families.
  • Work to understand how your actions and contributions to quality work and to maximization of resources enhance the organizations fundraising efforts and its overall financial health.
  • Support fundraising donor stewardship and Board engagement activities.

Operations

  • Provide administrative support to the Resource Development team including meeting coordination note-taking and supply management.
  • Assist the Club team as needed in the planning and execution of fundraising events and campaigns.
  • Uphold the Clubs values of inclusion safety respect and excellence in all work.
  • Contribute to a culture of continuous improvement equity and trauma-informed practices in support of youth and community well-being.
  • Collaborate with internal teams and departments to align goals and strategies and to foster a culture of cooperation and teamwork.
  • Engage in continuous learning and contribute to the effective implementation of continuous improvement processes.
  • Support the ethical use of data to make decisions in a timely and informed manner.
  • Represent the organization to the community in a way that enhances the organizations profile builds its reputation supports its strategic priorities and advances its mission.
  • Contribute to operational goals and objectives that align with and advance the organizations strategic priorities.
  • Support team development and performance inclusive of but not limited to active listening team-based learning recognition fun and transparent communications.
  • Strive to meet and surpass the expectations of youth families staff volunteers Board funders and other key stakeholders.
  • Support the planning implementation execution and evaluation of special projects.

  • Participate in available coaching opportunities regular one-on-one meetings with your supervisor performance evaluations and goal setting.

Qualifications

The Resource Development and Grants Coordinator require a majority combination of the following:

Education and Experience

  • Associates Bachelors or advanced degree preferred.
  • At least 2 years experience in database management fundraising operations or grants administration preferred.
  • Prior experience in a nonprofit or youth-serving organization is a plus.

Skills and Requirements

  • Strong attention to detail and accuracy in data entry financial processing and written materials.
  • Highly organized proactive and able to manage multiple priorities and deadlines.
  • Commitment to maintaining confidentiality and professionalism in handling donor and financial information.
  • Passion for the mission of the Boys & Girls Clubs which is to inspire and enable all young people especially those with unmet needs to reach their full potential as productive responsible and caring community members.
  • Exceptional communication skills with the ability to convey information in a timely open and clear manner.
  • Reliable transportation.
  • Knowledge of and ability to effectively use computers software and other technology tools.
  • Ability to establish and maintain effective working relationships with others.
