What you will do with us:
Perform a wide variety of technical and administrative support functions requiring considerable knowledge of department/division policies procedures and guidelines; assist or back-up other administrative staff in the Department when needed.
Coordinate determine best route for schedule and document all rental housing inspections including initial inspection requests for rescheduling extensions and failed inspections; enter and track data through a specialized software program.
Process track and maintain all Division-issued municipal citations and related documentation; maintain database; prepare case files for City Attorney; draft appropriate correspondence.
Coordinate meetings compile complete case files collect agenda materials prepare and assemble agendas for meetings and maintain official documentation for the Commission on Landlord-Tenant Affairs; enter data in specialized civic engagement software program; attend meetings; record and prepare meeting minutes.
Respond to inquiries complaints and requests and give information and assistance to the public in person by telephone and by email.
Maintain specialized databases record systems and filing systems including but not limited to homeowners associations condominium associations civic associations and shopping centers.
Compile and prepare notifications for scheduled rental inspections.
Maintain roster of terms of appointed members of the Commission on Landlord-Tenant Affairs; prepare correspondence to members as needed.
Review incoming correspondence and prepare appropriate responses.
Compose type prepare photocopy scan and maintain a variety of correspondence and other documents according to established procedures and processes.
Develop forms and procedures to help assure efficient and effective workflow throughout the division or department.
Maintain Division office supply inventory; prepare and process purchase orders invoices and check requests.
Draft prepare maintain and process official City documents; prepare and enter agenda or document information for public meetings.
Take notes and transcribe or prepare statements letters minutes reports and other materials when required.
Assist with scheduling and preparation for Council in the Communities meetings and other special events or activities.
Conduct research on special projects; compile and analyze data collected and write type and prepare reports.
Maintain highest level of confidentiality in all matters; exercise discretion and judgment in sensitive matters keeping the Division Manager or designee apprised at all times.
Assist in planning/organizing office automation needs.
Compile and prepare financial statistical or other complex or specialized data pertinent to the division.
May assist with preparation of the divisions annual budget.
May provide assistance with division billing payments credit cards and/or other financial support as assigned.

High School Diploma or equivalent; relevant Associates Degree or college level course work preferred.
At least 5 years of professional experience providing office assistance/administrative support.
Strong technology skills required including proficiency with standard office software and equipment and familiarity with data management.
Fluency in English and Spanish preferred.
