To support the embedding of a new administration team the Faculty Administrator will provide administrative and secretarial support to several Associate Deans and numerous Faculty Committees ensuring that meetings are well-organised documented and followed up on effectively.
This is an exciting opportunity for an experienced administrator who is proactive and takes pride in delivering work that keeps operations running smoothly.
Ngā Haepapa Matua Key Responsibilities (not limited too):
- Act as Committee Secretary for faculty committees including preparation of agendas minutes and follow-up actions.
- Provide high-quality administrative and secretarial support to Faculty leadership
- Coordinate meetings workshops and seminars including logistics catering and virtual participation setup.
- Be available on campus to support committees meetings and Associate Deans with meeting arrangements including room and technology set-up
- Formatting accurate and well-presented documents reports and presentations.
- Contribute to the embedding of the new administrative team structure and focused on continuous improvement initiatives that enhance service delivery and efficiency.
The role is a full-time12-month fixed-term role (37.5 hours per week)
The remuneration is $55300 - $69600 per annum dependent on skills and experience.

Youre a confident communicator and natural organiser who takes ownership of your work and enjoys supporting others to deliver high-quality outcomes. Youll be comfortable working with numerous stakeholders .
Youll bring:
- Previous experience in an administrative or coordinator role ideally supporting committees.
- Excellent written and verbal communication skills with a strong attention to detail.
- Proficiency in Microsoft 365 (Word Excel Outlook PowerPoint Teams) and confidence in learning new systems including AI
- Proven ability to manage multiple priorities and meet deadlines in a busy environment.
- Discretion sound judgement and a professional proactive approach.
- The ability to troubleshoot and support online meeting platforms (e.g. Teams Zoom).
