With a fleet of 90 aircraft UNHAS moves essential supplies over vast distances quickly offering the last mile air transport solutions to reach places that are nearly impossible to get to - conflict settings isolated areas with damaged or extremely poor infrastructures.
ORGANIZATIONAL CONTEXT
Responsible for supporting the implementation of the Aviation Service Communications and Partnerships strategies using technical experience in web graphic design to enhance visibility and drive innovation.
The job holder reports to the Head of Information Management & External Relations Unit.
KEY TASKS AND RESPONSIBILITIES
Under the direct supervision of the Head of IM&ER and the technical Supervision of the Deputy Chief Aviation Service: Develop plan and implement Information Management strategy reporting plans with business objectives. Support ongoing efforts to build effective relationships and collaboration with external partners ensuring a flow of relevant information and reviews of donor proposal and reports. Coordinate information Management & reporting activities to enhance informed and timely decision-making.
KEY ACCOUNTABILITIES
Develop different layouts for publications and visual materials (leaflets booklets banners roll-ups folders etc.); ensure that the layout fits the audience (from a technical professional and cultural standpoint).
Contributed to complex negotiations on strategic partnership agreements in line with WFPs corporate norms processes and external regulations aimed at improving the flexibility and predictability of funding for WFP Aviation.
Support corporate dialogue with partners such as entities in the donor community and other UN agencies and proactively highlight strategic opportunities and issues to senior management to help improve engagement with key stakeholders and drive awareness and interest in the work of WFP Aviation.
Coordinate inputs from other WFP entities to ensure that WFP Aviations position is explained and considered in the development of key advocacy materials including but not limited to global reports.
Use fresh and attractive templates that are in line with related products and latest trends.
Design web pages brochures magazine covers annual reports advertisements and other communication materials; Create these materials using technology including computer software programs. Adobes Creative Suiteincluding Photoshop Illustrator InDesign and other.
Create animations interactive maps online dynamic reports through HTML.
Work closely with the Head of the team to ensure all content reflect WFPs visual standards.
Edit videos and visual material for social media.
Create accessible aesthetically appealing and meaningful applications and sites.
Ensure that standard IM & ER procedures and templates are followed to drive the quality consistency and standardisation of information management and performance reporting.
Collate relevant information and data from internal and external sources to facilitate and maximize the exchange of information and data flow between functional area networks to provide operational awareness and understanding of events that may have humanitarian and/or operational impact.
Collate and disseminate humanitarian analysis pertaining WFP Aviation current or future responses and donor policies trends and preferences to ensure consistent operational reporting.
Collate analyse and communicate Information pertaining to the operational environment to facilitate access to timely and accurate information used at country regional and corporate level.
Provide and coordinate inputs for the Annual Reporting with the Aviation Field Operations IM Focal Points to ensure coherence and quality of performance information.
Collaborate with counterparts internally and with other UN agencies to ensure consistency in humanitarian information and to complement WFP analysis and information.
Support the enhancement of the capacity of staff and partners to effectively manage operational information and performance reporting through assisting in the delivery of IM training on core competencies.
Guide and supervise more junior staff as required acting as a point of referral and supporting them with more complex analysis and queries.
Support Aviation Field Operations IM Focal Points by preparing and reviewing donor proposals and reporting.
Contribute to identifying Corporate Performance Reporting Improvements.
Deploy to Aviation operations in the role of Information Management and External Relations Focal Point.
Manage the regular flow of news/information about the Aviation Service work ensuring reputational risks are identified and managed.
Contribute to/implement the division communications and social media strategy.
Other as required by the Supervisor or Chief of Aviation.
DELIVERABLES AT THE END OF THE CONTRACT:
a) Have established good relationships and proactive coordination with all Aviation Field Operations to the Annual Performance Plan SCDA quarterly/annual reports CO meetings and supporting UNHAS field outstations.
b) Have established good relationships and proactive coordination with relevant IM Networks and WFP Aviation stakeholders Focal Persons and timely preparation of end reports; c. Have performed his/her activities in accordance with the guidance from the Head IM&ER IM&ER team and WFP Aviation Service.
c) Have performed his/her tasks at satisfactory level according to his/her supervisor through the PACE.
QUALIFICATIONS & EXPERIENCE REQUIRED:
Minimum of 3 years of professional experience in communications and/or information management practices within the humanitarian context. Previous experience in leading and delivering innovative communications projects. Previous working experience with the Aviation Service in a similar role.
STANDARD MINIMUM ACADEMIC QUALIFICATIONS:
Education: Advanced University degree in International Relations Communications or other relevant field or First University degree with additional years of related work experience and/or trainings/courses.
Languages: Fluent in English Language (Level C) and a second UN language as per WFP requirements.
