Role description:

To handle deliverables required by the Project Director and provide support to Project Management Team on all stages from Conceptualization to Completion.

Role accountabilities:

Ensure compliance with API P&PM Department and ARCADIS policies and procedures.
Primary role to support PD on clerical & administrative duties such as preparation of minutes & reports record keeping organizing documents for signature.
Preparation and Maintain of Project documentation.
Produce scope demarcation plans for different contract packages in coordination with area managers and senior cross package manager.
Checking of drawings review project work scope and other requirements for compliance to engineering design materials procurement fabrication and construction.
Assist in the preparation updating and maintaining of the Project Directory Risk Register Contract Package Summary Project Execution Plan PD dashboard Takeover workflow during the term of the Project.
Assist and support the PM team to establish partnerships with the Clients team working together for the benefit of the Project.
Attendance in project coordination meetings at site or as may be required by PD.
Assist Client or Project Leads to organize workshops and meetings with clear procedures to ensure they are conducted in a constructive and proactive manner including preparation and prompt distribution of meeting minutes.
Assist the PM team in resolving any unexpected technical difficulties and other problems that may arise and/or escalating to the immediate superior as needed.
Monitor the furnishing and distribution of information to the appropriate parties in a timely manner taking into accounts the status of the program.
Assist in review and update and monitor master plan and master program against actual progress particularly critical activities.
Liaising with Client and their representatives consultants contractors suppliers quantity surveyor and the general workforce involved in the project as required by PD.
Assist in preparation monitoring and update schedule of punch list items.
Assist in preparation and issuance of Construction Close Out Report Preparation updating and monitoring schedules including Client deliverables consultant deliverables statutory permits and approvals OSM direct contracts and Contractors including milestone dates against master program.

Qualifications & Experience:

Graduate of any of the following courses: Architecture Interior Design Civil Engineering Electrical Engineering Mechanical Engineering Industrial or other related courses. PRC License Holder is an advantage.
Has 1 to 3years of experience in both shell building and interiors (fit-out) construction
Preferably with experience in Renovation and Fit-out Projects
Knowledge of Project Management with demonstrated experience in managing sites site coordination and client presentation
Demonstrated ability to establish and maintain effective relationships and partnerships with Project Team.
Excellent communication skills both oral and written
Proficiency in programming and planning software (e.g. MS project Autocad Microsoft Office) required
