Job Summary

The administrative assistant in this position performs a variety of clerical and secretarial duties requiring initiative independent judgment and decision-making within established policies and procedures. Duties frequently require the discreet and tactful handling of confidential material and interaction with the staff parents students and community.

REPORTS TO: Principal

ESSENTIAL JOB DUTIES

  • Manages student-related duties including discipline referrals suspension and attendance letters Student Information System (SIS) entries and attendance reports.
  • Maintains student files (print & file report cards enroll and withdraw students in PowerSchool) including student placement requests from other schools and records placement requests.
  • Assists in all school activities including fifth-grade promotion coordination confirming dates and reserving different spaces and furniture.
  • Maintains the building calendar. This includes drills meetings and daily announcements.
  • Manages and reserves meeting spaces in the building.
  • Covers Recess & Lunch duty supervisions.
  • Creates the buildings parent newsletter.
  • Maintains communication between PTO and principal for all events.
  • Conducts general reception duties (answering phones checking in visitors maintaining the bus list maintaining & updating the Google lunch sheet and school tours).
  • Assists with other duties as assigned by the principal.

REQUIRED QUALIFICATIONS Required qualifications to effectively perform job. An equivalent combination of education training and experience will be considered.

  • Some college is required.
  • At least 2 years experience is required.

KNOWLEDGE SKILLS AND ABILITIES May be representative but not all-inclusive of those knowledge skills and abilities commonly associated with the job.

  • Requires extensive daily use of technology.
  • Requires strong organization to ensure all tasks are completed in a timely fashion.
  • Requires the ability to work well with others to provide cohesive services to the District.
  • Requires strong attention to detail.

  • Required to occasionally move objects weighing up to 10 pounds around the workspace.
  • Required to visually obtain information from computer monitor correspondence reports or legal documents.
  • Required to operate standard office equipment.

WORK ENVIRONMENT Environmental or atmospheric conditions commonly associated with the performance of the functions of this job.

  • General office conditions. Exposed to moderate noise levels.

Education Requirements:Some college is required.

Experience: Minimum of 2 - 3 years experience as an administrative assistant or equivalent position. Prior school district office experience is highly desirable.
