ADMINISTRATION RECEPTIONIST / HUMAN RESOURCES
JOB TITLE: Administration Receptionist
REPORTS TO: Assistant Superintendent for Human Resources & Communications
DEPARTMENT/CAMPUS: Human Resources
PRIMARY PURPOSE:Under moderate supervision respond to inquiries from staff students parents and the public; provide requested information and/or referral to the appropriate parties; direct visitors; and provide general clerical support for the efficient operation of the central administration office.
QUALIFICATIONS:
Education/Certification
- High School Diploma or GED
Special Knowledge/Skills
- Ability to operate multi-line phone system
- Effective public relations organization communication and people skills
- Ability to speak read and understand English
- Ability to read and comprehend instructions
- Ability to effectively present information in one-on-one situations
- Ability to use software to develop spreadsheets and do word processing
- Ability to effectively present information in one-on-one situations
Experience
- Two years clerical experience preferred
MAJOR RESPONSIBILITIES & DUTIES:
- Receive and direct incoming calls take reliable messages and route to appropriate staff.
- Greet visitors (e.g. public parents students substitutes vendors) respond to their inquiries and/or direct them to appropriate personnel in accordance with district policies and procedures regarding building security.
- Maintain visitor log and issue visitor passes.
- Respond to emergency calls and notify appropriate parties to address immediate safety and/or security issues.
- Receive sort and distribute incoming district mail and post outgoing mail.
- Receive deliveries and disseminate materials and information to the appropriate parties.
- Assist parents and campus staff to process residency forms for student enrollment in accordance with district policy and procedures and assist with limited open enrollment as needed.
- Prepare correspondence forms reports and manuals for the department.
- Process criminal history background checks for volunteers and chaperones and maintain a database of cleared applicants.
- Compile maintain and file all reports and other documents as required.
- Display tolerance necessary for accepting supervision for and criticism of job performance.
- Work in harmony with supervisory faculty and peer personnel.
- Use professional information discreetly and judiciously.
- Support and follow administrative and Board policy.
- Represent the school system to the community in a positive professional way.
- Maintain a sincere friendly attitude toward patrons.
- Perform other duties as assigned.

Tools/Equipment Used: Standard office equipment including personal computer and peripherals; multi-line phone system
Posture: Continuous sitting
Motion: Repetitive hand motions including reaching. Frequent keyboarding and use of mouse.
Lifting: Occasional light lifting and carrying (less than 15 pounds)
Environment: Reception desk in the administrative/central office
Mental Demands: Work with frequent interruptions; maintain emotional control under stress
