SUMMARY
This position is responsible for the professional and efficient managing of visitors clients and vendors telephone calls and messages as well as a variety of clerical support where needed information and referral and the operation and presentation of a professional office. Operates and maintains the main switchboard and phone system.
EDUCATION and/or EXPERIENCE
High school diploma or GED; twelve months related experience and/or education.
ESSENTIAL DUTIES AND RESPONSIBILITIES

- Serve as greeter for visitors vendors students and clients. Obtain name and direct to correct area.
- Operate telephone console. Transfers calls to correct area or ends call by answering question. Typical calls would regard; giving directions to CVTC locations absences enrollment personal calls to employees and students job placement industry vendors information concerning other technology centers testing nursing emergencies meetings etc.
- Primary contact for student accounting system in regard to reporting and tracking attendance to sending high schools administration and counselors. Contacts and confers with parents/guardians when students are absent without notification.
- Works with El Reno campus attendance officer as a point of contact for partner schools as related to attendance and school activities.
- Collects daily attendance and reports to partner high schools.
- Meets with students and instructors regarding attendance.
- Documents attendance issues and mails attendance summaries to parents/guardians.
- Investigates absences and compiles information for the purposes of referring students to counselors and administrators regarding attendance concerns.
- Maintain and update campus phone list.
- Responsible for messages left on school voice mailbox and directing messages to correct employee or area.
- Operate Public Address system as needed.
- Handle emergency calls and situations.
- Obtain as much information as possible about school and community events and activities in order to answer questions from visitors vendors students and incoming callers. Information is obtained by word-of-mouth as well as reading of newspapers and various web sites.
- Provide backup for events coordinator.
- Cross-trained to provide backup to the Student Services and BIS support staff areas when needed.
- Assist with clerical work for other departments and programs as needed.
- Maintain students files in Student Services department.
- Other duties as assigned by Administration
Financial Aid:
- Work with prospective and current students and parents providing financial aid information and financial aid advice.
- Communicate with students regarding their financial aid package.
- Communicate and assist students and parents with completion of FAFSA
- Assist with email account
- Assist in the monitoring of Satisfactory Academic Progress of Title IV aid recipients
- Assist with maintaining and scanning financial aid files and other records
- Communicate with students regarding various scholarship opportunities
- Create student vendor information in School ERP Pro
- Invoice other entities as needed in School ERP Pro
