Job Summary

Summary: The Executive Assistant to the Superintendent works collaboratively with the Superintendent of Schools to support the overall operations of the district that centers on the provision of executive-level administrative assistance. Within the busy and fast-paced environment of the Central Office the Executive Assistant is required to maintain a high level of confidentiality while also supporting and coordinating the overall role and function of the seven-member school committee. The Executive Assistant generally serves as the liaison between the Superintendent and the staff of the district. Education and Experience: Bachelors Degree Preferred Minimum of five years of administrative office experience Experience in coordinating and supporting office operations Essential Duties & Responsibilities: Manage the daily operations of the Superintendents office in a manner consistent with administrative direction and district policies and procedures Attend regular and executive School Committee and respective subcommittee meetings to assist in the role of recording secretary Demonstrate a high level of competence and proficiency in clerical skills and ability to assume responsibility without direct supervision Prepare marketing flyers and brochures presentations reports correspondence and other documents for the Superintendent and/or others as directed Create and/or finalize communications from the Superintendent and the School Committee as appropriate; former includes district-wide newsletters opening day documents etc. o Enforce marketing protocol as needed Provide support and the coordination of activities for the School Committee and subcommittees including drafting and posting agendas tracking meeting topics research special event preparation (i.e. retirement celebration) drafting annual school calendar etc. Maintain the official copy of District policies Maintain confidential files with student and staff incident reports Collect and format information from school departments and Central Office for the Annual Town Report Exercise independent judgment to organize activities resolve issues and respond to requests for assistance related to district operations Manage complex calendars and scheduling tasks including that of the Superintendent; may also include coordinating other working groups ALICE training committee retreats etc. Manage projects and project details through timely completion and required follow-up including Superintendent and/or School Committee.. Maintains public relations role and acts as liaison for Superintendent and School Committee with district staff student representatives parents community members and outside organizations Update website content and graphics (as appropriate and with the support of IT Department) Complete district-wide report requirements like the School Attending Report School Coice submission and submit necessary documents to DESE Monitor and manage the coordination and follow-up of all homeschool applications and approvals May assist with contract preparation; familiarity of and working with bargaining units is preferred May assist the Records Access Officer Perform all other tasks and responsibilities as may be assigned by the Superintendent.
