Job Summary

The Office of the District Attorney Bronx County (BXDA) is charged with the twin goals of ensuring public safety and striving for equal justice for the over 1.4 million members of the Bronx County community. By Pursuing Justice with Integrity the BXDA places a focus on assistance for crime victims while simultaneously ensuring fairness to defendants. Moreover the BXDA aims to balance the need to seek appropriate punishment for certain crimes while recognizing when punitive measures do not adequately advance justice. By recognizing these significant distinctions and acting accordingly BXDA has established a standard of excellence in the representation of the Bronx community at large which continues to grow stronger every day.
In furtherance of this mission the BXDA seeks experienced and enthusiastic Administrative Supervisor for Crime Victims Assistance Bureau.

JOB RESPONSIBILITIES:
Specific duties will include but not limited to the following:

- Serve as the primary administrative support to the Bureau Chief and Deputy Chief managing schedules priorities and day-to-day coordination.
- Act as a central point of contact for administrative matters within the Bureau.
- Assume supervisory responsibilities when a supervisor is absent including staff oversight rotation of case assignments and ensuring follow-up with legal staff on case-related matters.
- Answer the Chiefs direct line and the Bureaus main phone line triaging calls as needed.
- Maintain daily and long-term schedules for staff ensuring coverage by tracking vacations medical leave and other planned absences.
- Coordinate and schedule meetings including preparing agendas minutes and follow-ups.
- Utilize advanced skills in Microsoft Word Excel PowerPoint Microsoft Lists and other Office 365 applications to streamline Bureau operations.
- Develop and maintain technology-based tracking systems for schedules case management and staff coverage.
- Stay current with new technologies and introduce tools that enhance efficiency and documentation practices.
- Track and follow up on ADA requests for documentation related to victim services ensuring timely and accurate delivery of advocate and therapist reports.
- Oversee rotation of case assignments and monitor follow-ups with legal staff when required.
- Prepare and send weekly outreach letters to potential therapy clients.
- Organize categorize and maintain Bureau case files in accordance with confidentiality and compliance standards.
- May be required to work with the Travel Unit to arrange confirm and manage travel logistics for victims and witnesses including transportation and accommodations for local and long-distance travel.
- Oversee the Bureaus petty cash fund including tracking disbursement and reconciliation.
- Review itemize and track all Bureau bills and expenditures to ensure fiscal responsibility and accountability.
- Order office supplies manage inventory and maintain readiness for Bureau needs.
- Distribute Bureau mail and staff communications.
- Prepare notices for meetings and events ensuring accuracy and timely dissemination.
- Support the planning and coordination of staff events and training.
- Perform other administrative and operational tasks as assigned by the Bureau Chief or Deputy Chief.
- Create and maintain reports spreadsheets and other requested documents.

PREFERRED QUALIFICATIONS:
- Must hold a bachelors degree or higher from an accredited institution.

Qualifications :

1. A baccalaureate degree from an accredited college and two years of experience in community work or community centered activities in an area related to the duties described above; or
2. High school graduation or equivalent and six years of experience in community work or community centered activities in an area related to the duties as described above; or
3. Education and/or experience which is equivalent to 1 or 2 above. However all candidates must have at least one year of experience as described in 1 above.
