This is a remote position.

Job Highlights:
  • Contract type: Part Time (21 hours per week)
  • Training is during business hours EST
  • After Training Schedule:
    • Wednesday to Friday; 6 PM - 9 PM for 3 hours per day
    • Saturday to Sunday; 12 PM - 6 PM for 6 hours per day

Were looking for a dedicated Administrative Assistant to join our growing team!

In this role youll be the friendly and reliable point of contact behind our client interactions and daily operations. From managing inbound calls and scheduling appointments via Booking Koala to providing service support and helping convert new clients into loyal recurring customersyoull play a vital role in ensuring a smooth and professional client experience every step of the way.
Youll also coordinate follow-ups communicate with field staff and perform light administrative and research tasks (including data scraping) to support business growth. If youre organized communicative and enjoy working in a fast-paced client-focused environment wed love to hear from you!


Key Responsibilities:
  • Handle inbound calls and schedule appointments using Booking Koala

  • Accurately enter and maintain client information in the booking system

  • Conduct text-based follow-ups with clients to ensure service satisfaction

  • Assist new clients in transitioning to recurring service plans

  • Serve as the first point of contact for all client inquiries and support needs

  • Coordinate with field employees regarding operations schedules and feedback

  • Escalate complex issues or urgent matters to management as needed

  • Perform light data scraping from platforms like Yelp to support email marketing initiatives

  • Complete various administrative tasks to keep operations organized and efficient

Requirements
  • Strong English communication skills (spoken and written)

  • Fluent in Spanish

  • Previous experience in customer service administrative support or virtual assistance

  • Comfortable handling inbound/outbound calls text follow-ups and appointment scheduling

  • Familiarity with Booking Koala or similar scheduling/CRM software is a plus

  • Excellent attention to detail organizational skills and reliability

  • Ability to multitask and work independently with minimal supervision

  • Tech-savvy with basic knowledge of online tools and spreadsheets
