Prospective Family Engagement and Enrollment
Serve as the first and ongoing point of contact for prospective families from initial enquiry through to enrolment.
Build and maintain positive professional and supportive relationships with families during the enrolment process and beyond.
Collaborate with the School Principal to meet enrolment KPIs (e.g. inquiry-to-visit conversion enrolments retention).
School Visits and Experience Management
Organise and conduct informative engaging and personalised school tours that reflect the schools values and IB ethos.
Ensure every family visit is well-prepared timely and includes relevant academic and administrative staff when appropriate.
Respond promptly and professionally to walk-in visit requests ensuring a high standard of service at all times.
Admissions Best Practice and Process
Follow standardised and ethical Admissions procedures aligned with IB values and Westlinks policies.
Provide accurate information and guidance on the schools curriculum pathways (PYP MYP DP) and admissions criteria.
Stay up to date with best practice in international school admissions maintaining continuous professional development.
Coordinate closely with the Principal and Regional Admissions Manager to provide feedback on marketing effectiveness and admissions trends.
Student Application Management
Handle admissions enquiries across multiple channels (email phone social media in person) with professionalism and care.
Process student applications including documentation checks references and eligibility verification in alignment with school policies.
Maintain timely and effective communication and follow-up throughout the admissions pipeline.
Ensure smooth internal coordination with teaching staff Heads of School finance operations and student services for the induction of new students.
CRM and Data Management
Accurately maintain and update the Customer Relationship Management (CRM) system and internal databases.
Record track and report on key admissions data including enquiries applications conversion rates and student status.
Prepare and submit regular admissions reports as required by the Principal and Regional Admissions Manager.
Communication and Community Engagement
Act as an ambassador of the school ensuring all communication reflects Westlinks vision values and educational philosophy.
Support translation of school materials and provide interpretation during admissions events school tours and parent meetings as needed.
Foster a positive and welcoming environment for all families supporting word-of-mouth referrals and community trust.
Collaborate with academic and support teams to ensure alignment in messaging and admissions-related decisions.
Event and Outreach Support
Support the planning and delivery of school orientation events and mid-year student induction.
Represent the school at external recruitment events including international education fairs (some of which may take place on weekends or evenings).
Contribute to internal admissions and marketing initiatives to attract and retain families.
Qualifications and Skills:
Bachelors degree in Japanese Language English Business Administration Education or a related field
Proficient in Japanese (preferably JLPT N2 or higher) and capable in English communication
Strong interpersonal and communication skills with a customer-service mindset
Experience in an international school or educational setting is an advantage
Organized detail-oriented and capable of managing multiple tasks and deadline
