Client Services Coordinator
Reports to: Chief of Staff

About the Role
The Client Services Coordinator plays a key role in managing the client experience and supporting day-to-day operational excellence across multiple service locations.
This is an exciting opportunity to:
Oversee and support client service operations across designated regions.
Collaborate with clinicians and administrative teams to deliver an exceptional client journey.
Contribute to continuous improvement projects and system enhancements.

Key Responsibilities
Client Coordination & Scheduling
Manage client appointment scheduling ensuring efficient use of clinician time and optimal client experience.
Coordinate intake processes service requests and communications with professionalism and accuracy.
Maintain up-to-date client data across scheduling and CRM systems.
Liaise with clinicians to confirm bookings manage reschedules and ensure service continuity.
Operational Oversight & Leadership Support
Oversee day-to-day client service operations across designated clinics or regions.
Ensure local service delivery meets company standards and client expectations.
Identify and resolve scheduling or operational issues in collaboration with clinical and admin teams.
Continuous Improvement & Growth
Recommend process improvements to enhance scheduling systems and overall client experience.
Participate in team meetings and provide performance insights.
Take on project and leadership opportunities as skills and performance develop.

Strong communication and relationship-building abilities.
Proactive and solutions-focused with the ability to handle multiple priorities.
Confident in using scheduling systems CRM tools and digital communication platforms.
Demonstrated ability to work independently and take initiative.
Qualifications & Experience
Previous experience in client services healthcare administration or operational coordination.
Proven understanding of NDIS healthcare funding or community-service travel fee structures is required.
Experience managing multi-site scheduling or healthcare operations is highly regarded.
Proficiency in Google Suite and/or practice management software (e.g. Splose) preferred.
Familiarity with Australian professional standards and communication is required. Preference will be given to New Zealand citizens or expats.
Demonstrated interest and potential to grow into leadership or management roles.
