Provide administrative support for assigned Executive(s) including but not limited to maintaining the Executives calendar handling correspondence maintaining files and records and coordinating travel arrangements.
Job duties include but are not limited to:
- Compose correspondence memos and other related documents.
- Develop and compile data and reports including charts tables graphs and presentations relative to the operations and business objectives.
- Manage administrative matters including but not limited to handling correspondence issue resolution calendar and schedule maintenance travel arrangements and recording/publishing meeting minutes.
- Receive screen and route incoming phone calls; accurately record messages as necessary.
- Greet visitors in a friendly and professional manner; ascertain their business need and route visitor to the appropriate person.
- Maintain records in a standard filing system.
- Prepare and reconcile travel expense reports for Executive and management.
- Prepare standard and ad-hoc reports as prescribed or requested.
- Maintain a high degree of confidentiality in all matters.
Qualifications :
- Must be at least 21 years of age.
- High school diploma or equivalent required.
- Must have a minimum of five (5) years of recent and relevant experience supporting a senior level Executive.
- Must be proficient in Microsoft Office applications.
- Must be detail-oriented and highly organized with the ability to effectively handle multiple projects/tasks simultaneously.
- Must have excellent communication skills.
- Must be able to obtain/maintain any necessary licenses and/or certifications.
