The Student Administration Support Officer is responsible for utilising systems and processes involved in administering all aspects of students enrolment from first enrolment to graduation. This includes but is not limited to processing student enrolments and enrolment variations supporting student examinations scholarship and graduation events. This position will be responsible for resolving enrolment issues as well as all associated tasks that fall under RMIT Vietnams policy and procedural framework.

Reports to: Senior Coordinator Student Administration (HN)

Key Accountabilities

  • Support student enrolment processes including managing enrolment variations and responding to enrolment-related requests throughout the student lifecycle.

  • Perform accurate data entry and verification of student information ensuring precision and attention to detail.

  • Maintain regular communication with stakeholders to facilitate timely and error-free processing of student enrolment records.

  • Assist with student insurance administration by cleansing data maintaining up-to-date student records and preparing student lists to ensure accuracy and compliance.

  • Support visa-related activities by updating passport and visa records preparing documentation for applications tracking and following up with students on outstanding requirements.

  • Ensure completeness and accuracy of student documentation while upholding confidentiality and privacy standards.

  • Contribute to data collection and analysis efforts aimed at enhancing the quality and efficiency of student administration.

  • Assist in planning and coordinating logistics for enrolment scholarship and graduation events.

  • Undertake additional responsibilities as required to support team operations and service delivery.

Key Selection Criteria

  • A bachelors degree in business administration or a relevant discipline or other equivalent work experience.

  • Experience in administrative systems and processes.

  • Demonstrated experience in a complex customer service environment.

  • Skilled in the use of Microsoft Word Excel Outlook and Power Point and experience using database systems.

  • Keen attention to detail and accuracy when inputting data and managing information.

  • Ability to work independently and as part of a team.

  • Demonstrated ability in liaising with people at all levels and areas of an organisation for example students academic staff and management as well as with people in industry government and other organisations.

  • Ability to display appropriate behaviours in line with the position and RMIT Values

English Proficiency

English is the language of teaching and communication at RMIT Vietnam. For this role the minimum requirement is IELTS General 5.5 (or equivalent CEST 150).
