WHO WE NEED

We are seeking an organized and proactive Student Co-op Intern to join the OpenROM Project this full-time four-month placement you will support the capital project team by assisting with the organization digitization and centralization of project documentation and closeout materials.

Working under the guidance of senior staff youll contribute to the efficient flow of information and records helping finalize open permits and ensure the timely submission of documentation to the City of Toronto. This is a support-focused learning-oriented role designed to provide valuable exposure to project administration in a large cultural institution.

This placement offers an excellent opportunity for a student or early-career professional to develop skills and gain exposure to capital project documentation and coordination in a leading cultural institution.

HOW YOU WILL MAKE AN IMPACT

  • Assist with organizing and digitizing project documentation to support version control and accuracy.
  • Help track and update closeout documents central records logs and spreadsheets under team guidance.
  • Support the development of document templates and central databases for project closeout information.
  • Assist with retrieving and consolidating historical project documentation in response to archival requests.
  • Help prepare and assemble documentation packages for submission to the City of Torontos Building Permit department.
  • Provide general administrative support to the OpenROM team including coordination and filing.

WHAT YOU BRING
  • A high school diploma (or equivalent) is required.
  • Current enrollment in or recent completion of post-secondary studies in urban planning architecture construction management or a related field.
  • Strong organizational skills and attention to detail.
  • Comfort using Microsoft Office Suite (especially Word Excel and PowerPoint) and basic file-sharing tools.
  • Ability to prioritize tasks manage time effectively and work in a team environment.
  • Clear and professional written and verbal communication skills.
  • A collaborative mindset enthusiasm for learning and a willingness to support others.

SALARY & TERMS OF EMPLOYMENT
  • START DATE: January 5 2026
  • OPEN DATE: October 24 2025
  • CLOSE DATE: Open until filled
  • STATUS: Full-time Contract
  • EMPLOYEE GROUP: Non-Union
  • HOURLY RATE: $17.60/hour
  • SCHEDULE: Up to 35 hours weekly
  • PROBATIONARY PERIOD: Three (3) months
  • LOCATION(on-site): Toronto ON

  2. First interview: A 45-minute in-person or virtual interview with the Hiring Manager and project team.
