Whats the role

Were looking for a highly organised and proactive Executive Assistant to support the Managing Director of Debt Products within Westpac Institutional Bank. Based in Sydney this full-time role is pivotal to the smooth operation of a high-performing leadership team.

Youll be responsible for managing complex calendars coordinating meetings and events preparing high-quality documentation and presentations and ensuring seamless communication across internal and external stakeholders. Youll also play a key role in supporting team operations including compliance reporting recruitment coordination and business continuity planning. This is a fast-paced varied role that requires discretion initiative and a strong sense of ownership.

This role is perfect for an EA seeking a true strategic partnership beyond traditional support it offers a unique opportunity to partner closely with the MD to support business and career growth. Youll also be part of a collaborative network of EAs and Team Coordinators sharing knowledge supporting each other and driving excellence together.

To thrive in this role youll bring a strong sense of initiative attention to detail and the ability to manage multiple priorities with professionalism and confidence. Youll be someone who enjoys working in a dynamic environment and takes pride in delivering high-quality outcomes.

Heres what will help you succeed:

  • Proven experience in a senior administrative or executive support role ideally within a corporate or financial services environment.
  • Strong organisational and time management skills with the ability to manage competing priorities and deadlines.
  • Excellent written and verbal communication skills with a high level of professionalism and discretion.
  • Proficiency in Microsoft Office Suite (Word PowerPoint Excel) and confidence navigating internal systems.
  • A proactive solutions-focused mindset and the ability to build strong working relationships across all levels of the organisation.
