Job Summary

Duties and Responsibilities

  • This position is on-site 5 days per week.
  • Serve as a point of contact: answer phones monitor voicemail manage internal/external requests and direct communications appropriately.
  • Schedule and organize departmental meetings take minutes and follow up on action items.
  • Draft correspondence and create reports and other documents as directed by Senior Director and Director Community Living Services Director Meaningful Day Services and Service Manager Supported Living and Personal Supports.
  • Handle mail operations (incoming/outgoing) for service areas; provide front desk support during lunch and absences in partnership with the Office Manager.
  • Ensure compliance of all reports and maintain necessary documentation for licensing and certification in collaboration with Services Leadership team.
  • Review and oversee spending requests for individuals supported by the organization ensuring they align with policy and budget.
  • Develop and maintain electronic and manual filing system(s) for departmental and organizational use.
  • Frequently review and update the database and other electronic to ensure that information is accurate and current.
  • Collaborate with Workforce Development HR and Nursing to process training applications monitor training compliance and flag any deficiencies for followâup.
  • Produce update and distribute the monthly Services Directory to internal departments.
  • Track and maintain documentation and compliance for department monthly reports related to all service areas.
  • Uphold confidentiality and professionalism
  • Order and maintain office supplies track departmental budget spending and support administrative functions for events and special projects.
  • Undertake additional administrative tasks as required.

KNOWLEDGE SKILLS AND ABILITIES

  • Ability to comply with agency requirements including but not limited to audits policies and procedures.
  • Ability to read analyze and interpret a wide range of documents policies and financial data.
  • Excellent written verbal and non-verbal communication skills.
  • Excellent interpersonal relationship skills.
  • Demonstrated cultural competence and cultural responsiveness.

EDUCATION AND EXPERIENCE

  • Must have a High School diploma or equivalent level of education. Associate degree preferred.
  • A minimum of two (2) years of administrative experience.
  • Project Management experience working in non-profit organizations a plus.
  • Should have proficient experience with technology and software particularly in MS Word Excel Outlook etc.
  • Experience working with people with developmental disabilities preferred.

REQUIRED CONDITIONS OF EMPLOYMENT

  • Must be able to lift and/or move up to 50 pounds.
  • Must be able to bend kneel push and pull.
  • Must meet eligibility for employment within the United States. (Provide appropriate I-9 documentation on the first day of employment).
  • Must possess and maintain a good driving record and have access to a reliable vehicle.
  • Must maintain training compliance as required.
  • Must have a clean criminal history.
  • Must be able to pass a drug screening.
