Job Summary

The Associate Director for Administrative Operations plays a key role in supporting the Office of the President by managing administrative operations coordinating high-profile events and ensuring the efficient flow of daily office activities. Reporting directly to the Executive Vice President for Administration and Chief of Staff this position is being established with responsibilities strategically reallocated to strengthen operational support for the Presidents Office.

As a senior administrative leader the Associate Director oversees office workflows manages event spaces and venues coordinates complex schedules and communications and serves as a liaison with internal and external stakeholders. This includes working with faculty staff donors legislators and government agencies to ensure seamless planning and execution of presidential and provost-level initiatives.

The Associate Director also provides leadership in resource management and may supervise additional support staff while handling sensitive and confidential information with discretion. By tracking deliverables anticipating operational needs and managing correspondence and status reports the position enables the President and Chief of Staff to focus on strategic decision-making.

The Associate Director functions as the operations manager for the Presidents Office aligning administrative systems staff and resources to advance the goals of the President and the university while fostering effective communication and operational excellence across units.

DUTIES AND RESPONSIBILITIES:

Support President and Provost Office for tactical logistics planning and cross-unit coordination for office events not included in the University-wide PRMC Events (e.g. University-to-University visits international President visits special VIP tours and special student events directed to Provost-President)

Serve as primary Administrative Assistant to the EVP/COS. Serve as backup to all Office of President support staff. Monitors Presidents general (non-person) email account to execute responses that leads to special projects and events.

Serve as primary manager for event spaces and pop-up spaces controlled by the President/Provosts Office (e.g. Football and Basketball athletic suites pop-up events at Baseball Beach Volleyball Soccer Track Golf Presidents Residence in-office lunch meetings Centennial Hall lobby Woodruff/Hurt Park and others)

Manages proactively Presidential informal meetings with faculty and administrative units (e.g. department meeting visits special student events)

Serves as primary agent of EVP/COS to work with Government Affairs to solidify effectively a list of important external activities that connect the President/Provost with legislators city officials business leaders and municipality leaders associated with all six (6) campuses

Support Provost EA and President EA in timely submission of travel and purchase reimbursements and processing

Manages correspondence to all stakeholders to the President/Provost Office including pre-event correspondence thank you notes delivering brag material broadly responding to VIPs in an ultra-timely manner with precise follow-up

Serve as primary manager of office-wide (President/Provost) status reports while keeping reports fresh and relevant

Stratify information for delivery specifically for the President and for the Provost

Supports additional all-hands-on-deck activities for both President and Provosts Office
