Job Title: Sr. Administrative Coordinator
Location: Annapolis MD 21401
Duration: 3 Months
Job Type: Temporary Assignment
Work Type: Onsite
Shift: 8:30am-5pm 5 days per week (37.5 hours)
Job Description:
Key Responsibilities
Office & Administrative Support
  • Plan support and organize daily activities of the office unit or program.
  • Provide complex administrative project and calendar support to leaders such as Deans Associate Deans Department Chairs or comparable business leadership.
  • Manage calendars; plan and schedule meetings with associated logistics.
  • Prepare materials for meetings - draft agendas collect information and follow up on action items; take minutes as needed.
  • Coordinate preparation set-up and logistics for department/office events and functions.
Fiscal & Budget Support
  • Support administration of departmental budgets - monitor tracking reconcile expenses resolve issues and assist with budget development.
  • Coordinate purchasing processes; process bills and reconcile accounts.
Project Coordination
  • Independently develop and manage key administrative projects (reports data collection workflow optimization records control).
  • Assist with planning and coordination of special projects presentations and reports.
General Office Duties
  • Provide general office services such as payroll support records control office moves/renovations and facilities coordination.
  • Identify and resolve administrative problems; analyze current practices and recommend improved procedures.
  • Serve as a liaison with facilities or service providers when needed.
  • Coordinate work assignments for students or temporary staff.
  • Handle confidential or non-routine administrative functions as needed.
Minimum Qualifications
  • Education: High school diploma or equivalent required.
  • Experience: Typically 4 5 years of related administrative experience with progressively increasing responsibility.
  • Additional education may substitute for required experience according to the JHU equivalency formula.
Preferred Skills (Often Listed)
  • Microsoft Office proficiency: Outlook Word Excel PowerPoint.
  • Calendar management meeting coordination and event planning skills.
  • Financial administration and basic budget tracking abilities.
  • Strong interpersonal organizational written and oral communication skills.
Work Environment
  • Full-time typically Monday-Friday professional office setting.
  • Some roles may allow hybrid work arrangements depending on department.
