The GM Administrative Assistant provides comprehensive administrative organizational and strategic support essential for the smooth and effective operation of the General Managers office. This highly responsible role involves directing daily business operations within a complex business environment. It requires operating with a high degree of confidentiality proactivity and independent judgment demanding excellent communication with internal and external stakeholders. The Assistant is also responsible for strictly adhering to all internal policies procedures and the Code of Conduct ensuring compliance with both corporate policy and local regulations.
Your Responsibilities
Effectively manage the General Managers dynamic schedule which includes prioritizing commitments organizing meetings and preventing scheduling conflicts
Screen filter and prioritize all incoming correspondence (emails calls letters) and draft responses when needed acting as the primary point of contact
Organize all internal and external meetings including those for the Leadership Team by preparing agendas booking rooms arranging equipment and taking minutes
Manage the complete workflow for documents requiring the General Managers signature (both wet-ink and electronic) including collection registration and submission for approval
Take overall responsibility for recording producing disseminating and archiving all official records including maintaining the complete contract archive in both digital and hard-copy formats
Operate with the utmost level of discretion and professional ethics in protecting or releasing confidential business and personal information
Proactively manage the procurement renewal and tracking of official legal and corporate documents (like Powers of Attorney) to ensure legal compliance and business continuity
Act as the main liaison with corporate headquarters regarding all official company documentation
Plan and organize all domestic and international business travel which includes booking logistics and preparing detailed itineraries and necessary visas
Assist the GM by preparing formatting and editing critical business documents such as reports analyses and creating effective presentations
Who You Are
You hold a University Degree in Business Administration Management Communications or related field
You built a minimum of 5 years of relevant work experience as an executive administrative assistant in a complex environment
You are well organized able to manage multiple tasks prioritize and efficiently manage your own time and that of GMs. You are able to pivot to new tasks and handle unexpected requests calmly
You are trustworthy able to maintain strict confidentiality and maintain positive and professional demeanor at all times as representative of the General Managers office
You are proactive able to anticipate problems and find solutions independently
You have attention to detail and are precise at performing all tasks
You have advanced verbal and written communication skills and you interact professionally with internal staff other executives and external stakeholders/vendors
You are fluent in Bulgarian and English
