As a Facilities Administrator at JLL you will provide comprehensive administrative support for facilities operations while focusing on client/stakeholder management by issuing access cards and arranging desks for new hires collecting and receiving mail and courier deliveries with receipting in register and informing relevant staff and resolving problems associated with all building services including janitorial mailroom support parking badging conference rooms and supplies. This multifaceted facilities administration role combines client service excellence with operational coordination requiring you to fulfill ad-hoc requests promptly and efficiently to support facilities issues while ensuring any faults or defects are noted and reported to ensure an outstanding client experience and responding to inquiries from internal and external customers regarding locations of buildings local services and local amenity information. You will play a crucial role in JLLs commitment to operational excellence by managing multiple vendors including hard and soft skills to deliver services on time and within budget while managing vendor procurement processes in accordance with agreed client procurement guidelines and Jones Lang LaSalle procurement best practices.

What your day-to-day will look like:

  • Issue access cards and arrange desks for new hires while collecting and receiving mail and courier deliveries with proper receipting
  • Resolve problems associated with all building services including janitorial mailroom support parking badging and conference rooms
  • Fulfill ad-hoc requests promptly and efficiently to support facilities issues while ensuring faults are noted and reported
  • Respond to inquiries from internal and external customers regarding building locations local services and local amenity information
  • Manage multiple vendors including hard and soft skills to deliver services on time and within budget
  • Manage vendor procurement processes in accordance with client procurement guidelines and JLL best practices
  • Ensure sites financial operations meet targets and control requirements while following account payable procedures
  • Assist in implementation and management of property risk management program while supporting disaster recovery plans.

Required Qualifications:

  • Minimum 1 year of experience in facilities property management hospitality or related field with client industry environment experience
  • Knowledge of vendor management for specialized services with understanding of basic technical aspects of property
  • Ease of interaction with wide range and wide level of client staff with ability to manage conflict and balance requirements
  • Customer-oriented attitude with demonstrated proactive & professional approach to customer service for outstanding client experience
  • Organizational skills to prioritize work and meet tight deadlines with proven ability to manage multiple complex operational matters
  • Understanding of access card issuance and desk arrangement for new hires with mail and courier delivery management
  • Experience with building services problem resolution including janitorial mailroom support parking and badging
  • Knowledge of vendor procurement processes with understanding of client procurement guidelines and best practices.

Preferred Qualifications:

  • Experience in facilities administration with comprehensive understanding of building services coordination
  • Background in financial operations management with account payable procedures knowledge and control requirements understanding
  • Knowledge of property risk management program implementation with disaster recovery and business continuity plans support
  • Understanding of escalation procedures and incident reporting procedures with Key Performance Indicators achievement
  • Experience responding to inquiries from internal and external customers regarding building information and local services
  • Knowledge of conference rooms and supplies management with ad-hoc requests fulfillment capabilities
  • Understanding of fault and defect noting and reporting for outstanding client experience delivery
  • Experience managing conflict and balancing between client and firm requirements with customer service excellence.
