About this opportunity

Reporting directly to the CEO we have an exceptional opportunity for an Executive Assistant to provide high level support to the CEO and play a pivotal role in the smooth running of the Executive office as we continue to elevate and evolve to meet the needs of our young people and Industry partners.

This role will see you working as a trusted partner at the heart of The Industry Schools close-knit high-performing Executive office ensuring the efficiency and productivity of the CEO and providing support to other Executives during peak periods.

Key to your success will be your ability to anticipate needs manage complexity and bring order to fast moving days to make a tangible impact. Proactive and forward thinking you see the bigger picture and have the confidence and resilience under pressure to manage competing priorities and effectively liaise with senior stakeholders.

You will manage the individual schedule for the CEO coordinate meetings and prepare documentation as well as assist the Executive team by ensuring they have the information and resources needed to make informed decisions.Working closely with other members of the Executive office you will ensure that good governance practices and compliance is maintained.

As a key representative of the CEO you will engage with all levels of senior management school management and external stakeholders to establish and foster strong effective relationships.

Key functions include:

  • Providing comprehensive executive administrative and secretarial support to the CEO.
  • Identifying and appropriately escalating relevant issues on behalf of the CEO.
  • Ensuring the CEO is prepared and informed on relevant matters in a timely manner.
  • Exercising initiative and judgement with the preparation collation and dissemination of information and documents.
  • Handling confidential and privileged information in confidence exercising diplomacy and discretion.
  • Preparing draft documents presentations and communications for review and completion by the CEO or their delegate.
  • Helping to coordinate reports for Executive or Board meetings and liaising with other members of the Executive office to ensure briefing notes are developed for major tasks.
  • Managing Executive and Board led events including venue hire room setup AV requirements gifts travel and accommodation.
  • Proactively building and maintaining good relationships across the organisation to facilitate effective communication and collaboration.
  • Developing and maintaining best practice document and records management systems for the Executive office.
  • Support accommodation and travel arrangements for the CEO and other Executive office or Professional Services teams when necessary.

Hybrid role based either at our Gold Coast School or Brisbane City Head Office.



Skills And Experiences

About You

To be successful in this role you will bring the following skills and experience:

Essential

  • Qualifications in a relevant discipline including a Bachelor degree Diploma or Certificate with work experience essential.
  • Previous experience of 3 years in a similar role in fast-paced dynamic environments.
  • Exemplary administrative skills demonstrating strong attention to detail decision making and organisational skills.
  • Strong Microsoft Office 365 and documentation skills including advanced formatting and content creation.
  • Exceptional with time management works well under pressure and will demonstrate initiative.
  • Flexible and adaptable and able to prioritise tasks meet deadlines and juggle across a range of activities with understanding the company sensitivities.
  • Exceptional interpersonal skills and the ability to work with and build strong relationships with internal and external stakeholders (ability to influence outcomes).
  • Collaborative and works well both in teams and autonomously.
  • Proven ability to build strong relationships with internal and external stakeholders demonstrated by your ability to communicate effectively and sensitively.
  • Flexibilityto travel and work from all school sites and Head Office as well as overnight as required.
  • Ability to demonstrate The Industry School values.
  • Working with Children Check (Blue Card)
  • Valid driver licence.
  • Right to work in Australia.

Desirable

  • Administration roles in a governance regulatory legal or compliance education/not for profit environment or experience providing executive and/or CEO support is highly regarded.
