Job Summary

VISTA Technology Services Inc. (VISTA) is currently seeking a Senior Administrative Assistant/Records Custodian to support a U.S. Trade and Development Agency (USTDA) contract. This position will reportonsite in Arlington VA 5 days a week.

This position is contingent upon contract award.

Responsibilities:

  • Maintain Central Agency Files (CAF) and manage records intake labeling filing scanning and storage
  • Serve as Records Custodian and technical expert liaising with NARA to ensure compliance with federal archiving and disposition requirements
  • Act as primary point of contact for records management establishing filing procedures ensuring access control and applying quality control and retention policies
  • Support the Records Management Officer (RMO) in drafting reports modifying record schedules and implementing federal records management standards
  • Conduct annual inventories and bi-annual clean-up campaigns
  • Train agency staff on records policies and assist with onboarding/offboarding record responsibilities
  • Input update and verify records data in USTDAs Project Management Information System (PMIS) and TDAMIS systems
  • Maintain library holdings database of project/program reports segregating public and confidential reports and provide semi-annual holdings analysis reports with executive summaries for publication
  • Provide on-site technical support andtroubleshootissues with AV equipment during events
  • Manage multiple tasks prioritize work meet deadlines andidentify and resolve complex problems
  • Demonstrate a commitment to innovative and quality customer service

Basic Qualifications:

  • 10 years of related work experience to include5 years of records management experience including Freedom of Information Act information management
  • Business or Information Management degree
  • Hands-on experience with Federal Records Management and NARA compliance
  • Experience in creating and implementing records management policies procedures and retention schedules
  • Experience evaluating program effectiveness and recommending improvements
  • Experience providing training and technical assistance to staff
  • Experience with administrative services such as office management building and facilities management human resources and/or policies and procedures
  • Strong organizational and data cataloging skills for document control
  • Excellent attention to detail and confidentiality in handling sensitive records
  • Excellent written and verbal communication skills
  • Proficiency withMicrosoft 365 Suite (Excel SharePoint OneDrive)
  • Physicalability to lift and move large number of files and/or file boxes
  • Tier 2 Public Trust required; Must be able to obtain and maintain a Secret security clearance

Desired Qualifications:

  • Familiarity with NARA Electronic Records Archives (ERA)
  • Records Management trainingcertificate
