Overview of Role:Key Duties and ResponsibilitiesGeneral Accountability- Report to the Director of Quality Risk Safety Management (QRSM) or designate
- Report to the Chair of the Medical Board
- Maintain throughout the Hospital an awareness of the primacy of the patient in relation to all Hospital activities.
- Be responsible for providing and developing the administrative support to the Director of QRSM including but not limited to calendar management setting up and taking minutes at meeting responding to external queries and liaising with external stakeholders
- Be responsible for providing and developing the administrative support to the Chair of the Medical Board (2 days per week Monday and Wednesday)
- Create and promote healthy working relationships.
- Actively participate in continuing education and research activities consistent with the position.
- Identify and implement in so far as is consistent with the position operational processes to the standards of best practice.
- Demonstrate behavior consistent with the Values of the Hospital.
- Have an appreciation of the sensitive and confidential nature of the position.
Specific Accountability:- Provide clerical secretarial and administrative support to the Director of QRSM.
- Co-ordinate the work of the office and assigned sub-committees of the Director of QRSM.
- Manage and control assigned correspondence personally undertaking correspondence as agreed with the Director of QRSM.
- Collect and compile data and statistics.
- Research and write reports as required.
- Organise meetings which will include informing people prepare and circulate agenda and other relevant documentation as well as arranging venues and catering.
- Attend meetings take and prepare minutes action plans as required and follow-up actions
- Liaise with other departments and outside agencies where applicable.
- Promote good working relationships with the other Personal Assistants and be familiar with all Executive Management Team Directorates.
- Co-ordinate office equipment/set-up/maintenance and review/up-date systems and methods on a regular basis.
- Address enquiries and complaints in a timely effective and confidential manner.
- Ensure that the Directorate performance is optimised by taking initiative in providing administrative support to the offices.
- Maintain the Core system and all other IT systems as required for QRSM Directorate
- Process requisitions relating to the offices on SAP.
- Provide administrative support to the Chair of the Medical Board
General accountability:- Commitment to continuous professional development including completion of relevant internal training programmes available through our Centre for Learning & Development Prospectus.
Leadership and staff management:- Completion of relevant training and availing of supports in the Leadership Academy including coaching mentoring and leadership development as applicable
Qualifications & Experience requiredMust have:- Obtained at least Grade D3 in five subjects in the Leaving Certificate Examination (higher ordinary applied or vocational programmes) or equivalent
or- Have passed an examination at the appropriate level within the QQI qualifications framework which can be assessed as being of a comparable to Leaving Certificate standard or equivalent or higher i.e. Fetac Level 5
or- Have satisfactory relevant experience which encompasses demonstrable equivalent skills
and- 3 years relevant administration experience.
- Practical experience of use of computer packages to include Microsoft Office i.e. Word Excel Outlook PowerPoint and other related packages
- Exceptional organisational and time-management skills
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Outlook Word Excel PowerPoint) and other
relevant software such a MS Teams and Zoom.Desirable:- 3rd level qualification equivalent to Fetac level 6 in relevant field
- Proven experience as a Personal Assistant preferably within a healthcare or similarly fast-paced environment.
Reward & Recognition- Remuneration is in accordance with the Department of Health Consolidated Salary Scales 1st August 2025.

- The annual leave entitlement is 29 working days per year. The leave year runs from 1st April to the 31st of March each year.
- Normal working hours are 35 worked over 5 days. Your contracted hours of work are liable to change between the hours of 8 am to 8 pm over 7 days to meet the requirements for extended day services in accordance with the terms of the Framework Agreement
