SUMMARY
The job of Pupil Accounting Aide was established for the purpose/s of assisting in the management of student information needed to comply with the pupil accounting requirements of the school district county and state.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
Assists the Supervisor of Pupil Accounting in the following:
Facilitates all aspects of student enrollment including registration compiling and verifying the necessary documentation and the dissemination of the same (ie: resident non-resident School of Choice etc.); required to meet local district state and federal guidelines.
Maintain and process student records such as CA-60s scanning enrollment documentation student transcripts and records retention materials as required to meet local district state and federal guidelines.
Facilitate School of Choice Application process: including receipt of applications affirmation of discipline follow up inquiries securing the appropriate residency documentation as required by the local district maintaining the School of Choice database corresponding with families on approval status disseminating the appropriate reports and documentation to the buildings of placement and maintaining master files of all applicant approvals in central office.
Maintain the Early Childhood student enrollments and state reporting data for all preschool programs (ie. GSRP Title I and Tuition Based Preschools) walk in special education speech services and early childhood census data.
Assists with the Pupil Accounting process providing support to the buildings in all aspects of pupil membership count day reporting; assisting in the securing of student UIC codes verifying the accuracy of the reports provided by each building and maintain the necessary documentation as required for pupil accounting desk and field audits.
Assist with the maintenance of the English Language Learners LEP identification and historical data as required to meet local state and federal reporting guidelines.
Assist with the maintenance and transmittal of student transcripts for the purpose of assisting Warren Woods Public Schools graduates.
Answer telephones and respond to inquiries from the general public regarding student enrollment schools of choice graduation inquiries and route calls to appropriate departments as necessary.
Responsible to maintain regular and reliable attendance.
Attend meetings as required to maintain up to date knowledge on Pupil Accounting procedures and work permits
Greets and directs all visitors to the Administrative Service Center
Assists with bi-annual pupil accounting audit
Maintains and disposes of records per approved retention schedule
Regular reliable and punctual attendance is an essential function of the position.
Performs other duties as assigned


QUALIFICATIONS:
Bachelors degree preferred
Previous pupil accounting experience preferred (non- degree candidates may receive consideration)
Knowledge and proficiency in Microsoft applications and PowerSchool
Ability to perform basic math calculations including fractions percents and or ratios.
Excellent oral and written communication skills.
Possess a working knowledge and meaningful experience in PowerSchool.
Ability to work in a fast-paced environment performing multiple tasks and meet required deadlines with accuracy and an attention to detail.
Must posses strong interpersonal skills with demonstrated ability to work harmoniously with office staff administration students parents and general public.
Maintain hard copy and electronic files for record keeping correspondence and reports related to Pupil Accounting.
Ability to work with other individuals within various departments as required for Pupil Accounting reporting.
Ability to work and communicate with the general public in courteous and professional manner.

Ability to remain calm in stressful situations.

Language Skills Ability to read analyze and interpret documents. Ability to write clear correspondence and messages. Ability to effectively present information and respond to questions from administrators staff parents students and the community.

Mathematical and Reasoning Skills Ability to apply concepts such as fractions percentages ratios and proportions to practical situations.

Aides work within an office setting and move about as needed. The job typically requires minimal physical exertion; individuals in this position may be on their feet throughout the workday. The person in this position needs to occasionally move about inside the office and building. The Aide may need to sit for extended periods of addition the person may need to occasionally push or lift equipment or boxes. The employee may need to travel to other buildings occasionally. The employee will need specific vision abilities to perform office work. The Aide is required to work at a computer. The employee may be required to meet multiple demands from several people and interact with the public and other staff.

The noise level in the work environment is moderate to loud. Duties are performed primarily indoors. The office area is busy at times. It is an open area where the Aide is faced with addition there are deadlines associated with this position. The work requires intense concentration at times with attention to detail and accuracy.
