Job Summary

OVERVIEW

Cache County is accepting applications for a part-time Office Specialist I to join our Tourism Department! We are looking for a happy hard-working dependable team player willing to learn and share everything about Cache Valley with our visitors. We are a small team. The successful candidate will have computer skills and be a self-starter - able to work without much supervision and unintimidated by basic spreadsheets and reports. Understanding of basic business priciples and social media is preferred.

RESPONSIBILITIES

  • Perform clerical customer service public relations and bookkeeping duties include answering incoming phone calls e-mails and requests for information from callers and clients; greet visitors assist them with general tourist and travel information and direct them to appropriate destination(s); create and maintain front desk directory and contact information.
  • Provide administrative support; take minutes of meetings; organize and maintain files mailing lists and calendar information from local and state organizations newspapers and community groups.
  • Stay current on local events accommodations dining locations and other area/regional information in order to effectively answer inquiries.
  • Manage inventory and order brochures/media material and replenish display racks as needed.
  • Assist in the recruitment of seasonal volunteers; coordinate volunteer projects and assignments during various seasonal events programs and operations.
  • Responsible for processing distributing and handling incoming/outgoing mail; determine proper postage; prepare and mail boxes of guides and related tourist information. Coordinate mailing lists for information requests.
  • Visit tourist sites and area venues to gather firsthand knowledge of what the area offers tourists and convention delegates.
  • Order office supplies and maintain filing cabinet.
  • Type letters memos reports and other documents; restock souvenir/gift items. Assist with compilation of program and statistical reports under the direction of the Tourism Director.
  • Attend meetings take and transcribe minutes for CVVB Advisory Board organize display materials prepare agenda items and distribute minutes to board members.
  • May assist with financial records. Assists in the preparation of departmental budget as needed.
  • Coordinate event-related communications and promotional materials ensuring timely updates and distribution to relevant audiences and publications.
  • Attend various state regional and local partnership meetings trade shows conventions workshops and gather materials that may be of interest to the Director of the Visitors Bureau.

MINIMUM QUALIFICATIONS

Education and Experience: High School Diploma / GED; AND Two (2) years of related experience providing exposure to a variety of general office duties requiring the skills listed previously as essential functions OR An equivalent combination of education and experience.
