Job Summary

The Senior Clerk provides direct administrative and operational support to the Captain of Airport Bureau Administrative Services and assists three Lieutenants assigned under the Captain. The position requires strong organizational communication and technical skills to support a dynamic law enforcement environment within the San Francisco International Airport (SFO).

Essential Duties and Responsibilities:

The potential candidate will exemplify SFPDs core values and mission while performing the following functions (including but not limited to):

  • Manage the Captains calendar including scheduling meetings reminders and project deadlines; coordinate meeting logistics and prepare agendas or follow-up documentation.
  • Review timesheets and perform payroll data entry on a daily basis to ensure accuracy through SFPDs internal HR Management System (HRMS) prior to submitting to the Payroll unit.
  • Handle confidential and sensitive information in accordance with department policies and CJIS standards.
  • Manage inbound calls emails and internal communications ensuring timely and professional responses.
  • Coordinate meeting logistics using Microsoft Outlook Teams and other tools; prepare briefing packets take notes and distribute follow-up materials.
  • Draft format and edit memoranda correspondence reports and other official documents; maintain consistent standards of accuracy and confidentiality.
  • Maintain and update changes to personnel data per Personnel Data Sheet and Personnel Orders for all units (Admin Patrol and Traffic) into Personnel Tracker database and Excel files.
  • Serve as the central point of contact for administrative tasks correspondence and project tracking for the Administrative Services Division.
  • Support onboarding and orientation for new staff assigned to the Airport Bureau.
  • Maintain and scan monthly Weapon Inventory reports from all units
  • Scan file and maintain electronic and physical records in compliance with SFPD retention standards.
  • Process a variety of documentation including but not limited to confidential paperwork forms and other related documents and reports.
  • Use department databases and Microsoft Office (Outlook Word PowerPoint and Excel).
  • Maintain office supplies department equipment and processing mail.
  • Interpreting enforcing and carrying out existing methods and procedures relative to office operations.
  • Disseminates information and answers inquiries by communicating with the public departmental personnel and other departments.
  • Demonstrated judgment discretion and commitment to confidentiality in handling personnel and departmental information.
  • Performs related duties as required.

Qualifications :

Two (2) years of clerical experience included preparing and maintaining a variety of records and/or      documents filing use of office equipment public contact and processing of incoming and outgoing mail

Substitution:

Any one of the following may substitute for six (6) months of the required experience:

Completion of a clerical training program (240 hours); OR

15 semester units (or equivalent quarter units) of coursework from an accredited college or university; OR

Completion of an approved City and County of San Francisco Clerical Administrative training program (as designated on the job announcement).

Desirable Qualifications:

  • Law enforcement agency experience
  • Proficiency of MS applications (Excel Word PowerPoint SharePoint etc.)
  • Uses AI-enabled tools and digital applications (e.g. Microsoft Copilot scheduling intelligence transcription tools or task automation features) to improve efficiency and streamline workflows.
  • Exceptional interpersonal oral and written communication skills

Background Investigation: Prior to employment with the San Francisco Police Department a thorough background investigation will be conducted to determine the candidates suitability for employment.
