Job Summary

Acacia Connection is an Employee Assistance provider that is making a difference to the lives of thousands of employees and their immediate families in the area of mental health. We provide high quality exceptional counselling services and assistance to individuals who have personal and/or work-related issues that may impact their wellbeing work performance safety individual and workplace morale and psychological health.

Were looking for a new member on a permanent full-time basis to join our business to provide reception and office administration support in our Brisbane office.

THE ROLE

The focus of the duties of the Receptionist / Office Administrator is to undertake all reception and administration tasks for the site as well as support administration tasks for the region / national teams.

  • Reception duties and office administration for office/site in which you are located as well as offices within the state
  • Assist with client rescheduling or diary adjustments for the internally employed clinical team
  • General office support including upkeep of office supplies stationery orders kitchen and common area upkeep grocery orders collateral and collecting/posting mail and equipment
  • Coordinate local office fire warden and first aid training
  • Manage meeting room bookings
  • Coordinate local office events including staff meetings birthday lunches Christmas parties and special events
  • Liaise with local property management and contractors
  • Act as local contact for office organisation and functionality including assistance with printers and other equipment
  • Assist with recruitment support including coordinating interviews calendar coordination and room bookings
  • Assist with HR support including desk setup induction and onboarding of new employees locally
  • Assist with business reporting
  • Assist with Acacias quality function including annual external audit and complaints process activities
  • Assist with business operations activities at the direction of primary manager and/or members of the executive team

WHAT WERE LOOKING FOR

We are looking for a self-motivated enthusiastic and organised individual with a high level of attention to detail as well as:

  • Previous experience in reception and/or office administration is desirable but not essential
  • Advanced skills with MS Office suite are ideal
  • A strong ability to manage multiple priorities with exceptional time management and organisational skills
  • Excellent written and verbal communication with a proven ability to interact with various stakeholders make decisions and resolve problems
  • A team player able to work well in both small and large team environments
