Project Manager Events & Operations (Remote) EST hours 9am-5pm

Salary range: $1500 - $2000

Role Headline

We are seeking a highly organized Project Manager who is confident holding stakeholders accountable and translating complex initiatives into clear executable plans. This role is critical to achieving our 2026 events goals and scaling how we plan execute and deliver large-scale events.

Business Need

Events are the core driver of our 2026 we plan to deliver:

  • 6 large multi-day events (100 attendees)

  • 610 medium events (5080 attendees single-day or half-day)

  • Several smaller events throughout the year

Currently events are managed through spreadsheets and Slack. This approach will not scale. We need a Project Manager who can formalize our event operations inside a project management system enforce accountability and absorb operational and administrative work so the team can execute at a higher level.

Without this hire we will not be able to meet our 2026 event goals.

Role Overview

This role owns the project management system for the team with a strong initial focus on building maintaining and enforcing project plans in Asana (or a comparable tool). The Project Manager will ensure tasks are clearly defined assigned tracked and completed on time across a small fast-moving team with overlapping responsibilities.

In addition this role supports event operations and general administrative work acting as a central point of coordination to ensure nothing falls through the cracks.

The Type of Person Were Looking For

  • Deep expertise in at least one project management tool (Asana preferred for ramp speed; Monday Jira or similar also acceptable)

  • Able to translate structured project management principles into a tool like Asana

  • Comfortable managing tasks across multiple people and workstreams in a small team environment

  • Thinks in hierarchies: projects tasks subtasks

  • Confident following up nudging stakeholders closing loops and flagging risks

  • Proactive detail-oriented and unafraid to hold people to commitments

  • Strong written communicator who can bring clarity to complex or messy workflows

This team values accountability and claritydirect follow-up and proactive reminders are expected and welcomed.

Key Responsibilities

Project Management Ownership (70% initially)

  • Own and manage the teams project management system

  • Build detailed project plans in Asana from existing process maps and guidance

  • Break down complex initiatives into clear tasks and subtasks with owners and due dates

  • Monitor task status and proactively follow up on overdue or at-risk items

  • Prepare projects ahead of weekly project meetings so the team has clear visibility into whats outstanding

  • Be prepared to speak at a task-by-task level during project reviews

Event Operations Support (30% growing over time)

  • Take notes during event-related meetings and translate decisions into actionable tasks

  • Manage communications with sponsors vendors and attendees ensuring timelines and deliverables are met

  • Coordinate event-related email communications reminders and calendar invites

  • Maintain and organize shared drive folders for all event-related materials

  • Liaise with vendors and venues (e.g. catering printing rentals hotel room blocks)

  • Ensure event workflows are followed so details are not missed

General Administrative Support

  • Maintain and update calendars

  • Update and manage spreadsheets

  • Organize files and folders within shared drives

  • Complete assigned project tasks independently and on time

Ideal Experience

  • Project management tools: Asana Monday Jira or similar

  • Zoom

  • Excel / Google Sheets (VLOOKUP XLOOKUP IMPORTRANGE; basic scripts a plus)

  • Email marketing or communication tools (e.g. ConvertKit or similar)

Skills & Competencies
