Description

Capstone is seeking an organized and efficient Administrative Assistant in our Content Development team. This is a key support role for the Content Development team and the broader Content business unit. This role provides administrative support such as data and metadata work invoice processing assisting with content development and vendor support and other administrative duties. The person in this role plays a vital part in supporting a creative team working to develop books that enhance childrens love of reading and learning.


Our preference is for this role to be hybrid based out of either our Edina MN or North Mankato MN locations.

YOUR RESPONSIBILITIES

Data & Administrative

  • Assist all Content teams with data and metadata entry and completing concept briefs.
  • Assist the editorial department with note taking and tracking of projects through internal and external customers including translators and freelance editors.
  • Assist Metadata team with Library of Congress applications and submissions to levelers.
  • Assist with managing and updating author illustrator and freelancer databases and manage the tracking and distribution of new author and illustrator queries.
  • Manage the ordering of complimentary copies for content consultants authors illustrators licensors Library of Congress and other external people and internal staff each production cycle.
  • Ad-Hoc Support: Provide additional administrative and operational assistance as needed to support team efficiency and productivity.


Collaboration & Communication

  • Handle tracking and filing of invoices and liaise with accounting and contracts departments as needed.
  • Assist in the tracking and reporting of key indicators such as invoices paid on a monthly basis to assist with budget forecasting.
  • Work with accounting contracts IT and other departments to streamline processes.
  • Perform additional tasks as assigned in a professional and efficient manner.


Education Experience and Skills desired:

  • Associate or Bachelors degree preferred; equivalent work experience considered.
  • 1-2 years of experience in administrative support preferably in content publishing or other creative environments.
  • Excellent attention to detail organization and time management skills.
  • Proficiency in Microsoft Office Suite (Word Excel PowerPoint Teams) and experience with project management tools such as Smartsheet and/or content management systems such as Biblio3.
  • Ability to manage multiple tasks prioritize work and meet deadlines.
  • Strong communication skills and ability to collaborate effectively with a creative team.
  • Proactive flexible and adaptable in a fast-paced environment.
  • An interest in supporting childrens literacy and education is preferred.

  • Adaptability and problem-solving.

The pay range for this role takes into account the wide range of factors that are considered surrounding compensation including but not limited to: skill sets experience and training work location and other business and organizational needs. At Capstone it is not typical for an individual to be hired at the top of the range for their role. A reasonable estimate of the annual pay range for this position is $41000 - $58000.
