Job Summary
The Events Coordinator ensures consistent high-quality planning and delivery of Maverick Volleyball events by overseeing Event Leads and providing them with historical operations plans tools and guidance. This role ensures every event reflects the clubs mission vision and values while supporting growth community engagement and sponsor relationships. The Events Coordinator also builds grows and maintains the clubs volunteer database to ensure a strong and reliable pool of volunteers.
Key Responsibilities include:
Event Strategy & Calendar Management
- Manage the clubs events calendar and update quarterly.
- Recruit assign and supervise Event Leads for each major event.
- Provide Event Leads with historical plans checklists and templates to ensure consistent execution.
Event Planning & Delivery Oversight
- Oversee and support Event Leads during planning and execution.
- Troubleshoot issues and ensure smooth delivery.
- Maintain and track event materials and coordinate logistics.
Marketing & Sponsorship Coordination
- Liaise with Marketing to align branding communications and promotions.
- Support sponsorship fulfillment (e.g. logo placement recognition activations).
Financial Oversight & Post-Event Review
- Monitor event budgets and approve related expenses.
- Update and refine operations plans post-event incorporating lessons learned and feedback.
Volunteer Engagement & Recognition
- Build and maintain the volunteer database.
- Recruit new volunteers and recognize contributions.
Essential Qualifications
Experience
- 35 years in event planning coordination or program management
- Experience managing multiple events and stakeholders simultaneously
- Proven leadership of volunteers or cross-functional teams
Skills
- Event logistics scheduling and calendar management
- Budget tracking vendor coordination and contract oversight
- Volunteer recruitment onboarding and recognition
- Marketing alignment sponsorship fulfillment and branding support
- Post-event analysis reporting and continuous improvement
Competencies
- Project Management: Prioritization delegation and milestone tracking
- Communication: Clear written/verbal updates stakeholder alignment
- Problem Solving: Quick thinking issue resolution contingency planning
- Collaboration: Cross-team coordination volunteer engagement

Education
- A post-secondary diploma or degree in Event Management Hospitality Marketing Communications or Business Administration is preferred.
