Description

The Second Judicial District Court Records is accepting applications for a customer service focused Court Operations Associate.

Court Operations Associates work individually and in teams to provide customers with a professional fair impartial and accessible court experience. This position provides a high volume of customer service in-person at the service counter and over the phone for all court records of the Second Judicial District. This role requires dedication to providing excellent customer service strong attention to detail and the application of sound quick independent judgment.

Work requires the exercise of judgment in accordance with instructions rules of court state statutes court and office policies and procedures. Work is evaluated for accuracy completeness timeliness and adherence to guidelines and requirements. Positions in this classification receive occasional assistance as new or unusual situations arise. Advice and assistance will normally be provided by a Court Operations Supervisor a Court Operations Lead Worker and/or a Court Operations Specialist.

This position will work mainly onsite with the opportunity to work remotely depending on business need. A reliable internet connection will be required if working remotely.

Responsibilities

The following are examples of major job duties expected of this position.

  • Locate and retrieve court cases and case filings and documents as needed.
  • Respond to inquiries from attorneys case parties media the public and court employees regarding court records filed documents and hearing exhibits.
  • Prepare and complete requests for copies of records ensuring accurate and timely processing.
  • Conduct document quality and security checks to ensure compliance with data protection regulations.
  • Manage record retention classification sealing and purging of case records in accordance with established rules statutes and procedures.
  • Handle cash transactions reconcile cash drawers and maintain accurate records of financial activity.
  • Answer telephone calls and inquiries from the public regarding cases in Ramsey District Court providing accurate and timely information.
  • Review reports and take necessary action to ensure compliance with court policies and procedures with a high-level of attention to detail.
  • Provide excellent customer service to the public attorneys and case parties through various channels (in-person phone mail and electronically).
  • Process incoming and outgoing mail.

Minimum Qualifications

  • Graduation from approved high school or equivalent.
  • At least six months previous experience providing excellent customer service in challenging situations.
  • Demonstrated ability to handle multiple tasks while meeting a high customer service demand and a high level of accuracy.
  • Adaptable and flexible.
  • Ability to establish and maintain effective working relationships with others.
  • Ability to learn computer programs and technology.
  • Access to reliable internet connection while working remotely.
  • Ability to work on-site at the Ramsey County Courthouse 15 W Kellogg Blvd St Paul MN 55102.

  • Ability to work under pressure in a high -volume fast-paced work environment while assuring timeliness and accuracy;

Preferred Qualifications

Ability to communicate and work respectfully with people from diverse backgrounds.

At least one-year of experience processing financial transactions specifically handling cash and credit card transactions with the public.

This is a AFSCME CAT bargaining unit represented position. The deadline for bidding/internal application per article 14 of the collective bargaining agreement between the Minnesota Judicial Branch and AFSCME is October 23rd 2025 at 11:55 p.m. Permanent non-probationary employees shall be eligible to bid on any vacancy in the Bargaining Unit for which they are qualified as determined by the accordance with the AFSCME labor agreement a successful bidder shall serve a probationary period. Current AFSCME CAT represented employees must have served a minimum of six (6) months in their current position and be in good standing to be eligible to apply.

Successful candidate will be required to pass a criminal background check.

Rate of Pay

The expected hiring range for this position for external candidates is $22.50-$23.50/hour based on qualifications and experience.
