The Role: Real Estate Transaction Coordinator


Imagine being the person who makes sure every real estate deal stays on track from listing to close.


Youre not just sending reminders or updating files. Youre the steady hand that keeps transactions organized and timelines clear. The agent is running to a showing Youve already handled the listing paperwork and updated the CRM. A new property is going live Youve scheduled the photographer gathered all the details and checked that nothings missing.


You dont just coordinate. You create structure. You reduce stress. You give busy real estate teams the confidence to deliver excellent service because they know youre keeping everything in place.


As a Real Estate Transaction Coordinator youll support a U.S.-based real estate team from your home office helping them move deals forward maintain top-tier organization and give clients a seamless experience.



What Your Days Might Look Like:


  • Prepare and distribute contracts disclosures and real estate documents

  • Coordinate listing activities including gathering property information and scheduling photos

  • Set appointments for property showings and open houses

  • Manage CRM systems and keep client records accurate and up-to-date

  • Assist with admin tasks such as calendar management and meeting coordination

  • Conduct basic market research and property data gathering

  • Process invoices and track expenses as needed

  • Provide general administrative support to agents and brokers


Who We Think Will Thrive in This Role:


  • Youve worked in real estate support or a fast-paced admin role

  • Youre detail-oriented and love bringing structure to complex processes

  • Youre confident using CRMs spreadsheets and cloud-based tools

  • You communicate clearly and professionally both written and verbal.

  • Youre tech-savvy organized and great at juggling multiple tasks

  • Youre self-managed and thrive in a remote work environment.

  • Youre flexible solutions-focused and always ready to jump in where needed

  • Social media management experience is a plus

  • You are willing to work in a US time zone schedule.

  • You can secure the required technical setup including:

    • At least a 720p HD webcam

    • A noise-canceling headset

    • A primary internet connection of at least 25 Mbps

    • A backup laptop backup internet device and backup power source

    • A main computer with at least Intel Core i5 (or equivalent) and 8 GB RAM

    • A backup computer with at least Intel Core i3 and 4 GB RAM
