Job Overview:
The purpose of the Administrative Assistant is to support daily operations by managing scheduling ticketing and office administration with a focus on exceptional client service. This includes coordinating with internal teams maintaining inventory and ensuring timely communication and follow-up with clients. The role requires strong organizational skills attention to detail and the ability to prioritize tasks in a dynamic environment. A commitment to professionalism and client satisfaction is essential.

Typical Responsibilities:
- Answer phones
- Create help desk tickets
- Review technician schedules to assign tickets to the appropriate team member
- Coordinate with Project Manager Service Manager and clients to schedule remote and onsite services
- Follow up with clients to receive feedback on recent services
- Provide timely communication on issue statuses and resolutions
- Respond to client emails promptly and professionally
- Ensure proper escalation procedures are followed
- Triage new tickets sent directly to the service board and ensure prompt assignment to a Help Desk Technician
- Communicate with clients to obtain information needed to complete projects
- Provide exceptional customer service
- Receive and sort mail
- Manage inventory through regular cycle counts and documentation of material received
- Receive packages and inspect material for quality
- Coordinate with Project Manager and Procurement if material is damaged or lost in transit
- Create shipping labels pack items to ship send packing slips schedule pickup and delivery and coordinate with end users
- Ensure the success of Service Level Agreements (SLA)
- Manage office supplies and order as needed
- Take notes during team meetings
- Provide additional support to team members
- Maintain a strong level of professionalism and commitment to client satisfaction
Required Skills
- 3 years of customer service experience
- 3 years of administrative experience
- Exceptional organizational skills with a keen eye for detail
- Strong professional written and verbal communication skills
- Ability to remain calm under pressure
- Self-motivated to work alone or in a team
- Exceptional time management skills
Preferred Skills
- Basic technical knowledge and computer skills
- Experience handling multi-line VOIP phone system
- 55 WPM
Schedule
8-hour shift (8:00am 5:00pm) Monday to Friday
Job Type: Full-time
Pay: $17 25 per hour
